Teach your AI to sound like you.
Staff write knowledge base articles in plain English. IBIOS AI rewrites them in your brand voice, passes them through a manager review queue, and teaches them to your AI receptionist (coming soon) — ready for the next call.
AI brand voice rewrite. Manager approval gate. Verbatim override for precision answers. No deployment step after approval.
Why do generic AI answers damage trust?
A caller asks your AI receptionist (coming soon) about your installation process. The AI gives a technically correct answer that sounds like it was written by a software company, not a bathroom showroom. The caller can tell immediately that they are not talking to someone who knows your business.
The same answer, written in your voice — warm, specific, using your team’s language — builds trust instantly. Brand voice is not cosmetic. It is the difference between an AI that represents you and one that represents itself.
IBIOS brand voice rewriting transforms plain English content from your team into answers that sound exactly like your business would say them.
From staff note to AI answer in four steps
Staff write in plain English
Any team member can write a KB article. No special formatting required. Just answer the question clearly — how would you explain this to a colleague on their first day?
Manager reviews and approves
The article enters the review queue. A manager reads it, makes any corrections, and approves it. Optional: add a verbatim override if the answer must be exact.
AI rewrites in brand voice
The AI rewrites the approved article to match your business tone and style. The rewritten version is shown alongside the original for comparison before going live.
AI receptionist (coming soon) learns immediately
The rewritten article is added to the AI receptionist (coming soon)’s context. It is available for use in the next call that arrives. No deployment, no caching delay, no restart required.
What brand voice rewriting looks like
The same factual content, transformed from a staff note into an answer that sounds like your business.
Staff-written draft
“Installations usually take 3-5 days. We need access to the bathroom all day. Someone needs to be home. We clean up each day before we leave.”
After AI brand voice rewrite
“Most bathroom installations with us take between three and five days. Our team will need access to the bathroom throughout the day, so we do ask that someone is at home. We tidy up thoroughly at the end of each day so the disruption to your home is kept to an absolute minimum.”
What changes with a well-trained AI knowledge base?
Your AI sounds like your business, not a chatbot
Without brand voice rewriting, AI answers sound generic. With it, every response carries your business’s tone — whether that’s warm and local or precise and technical. Callers notice the difference.
Staff knowledge becomes AI knowledge
Your most experienced staff hold institutional knowledge that is currently locked in their heads. The KB turns that knowledge into structured, reusable context that the AI can draw on.
A review gate before anything goes live
No article reaches the AI without a human approval. The review queue prevents mistakes, inaccurate information, and off-brand language from reaching customers before anyone has checked it.
Override when precision matters
For legally sensitive answers, warranty terms, or statements that must be verbatim, the override field bypasses the AI rewrite entirely. Precision when it counts. Brand voice everywhere else.
Questions about the AI knowledge base
What is the IBIOS knowledge base?
The IBIOS knowledge base is a library of articles that teach your AI receptionist (coming soon) how to answer questions about your business. Staff write articles in plain English covering topics like pricing policies, installation timelines, product ranges, and frequently asked questions. Once approved, the AI rewrites each article in your brand voice and adds it to the context available to the AI receptionist during calls.
How does brand voice rewrite work?
When a knowledge base article is approved, IBIOS passes it to the AI along with your brand voice guidelines. The AI rewrites the article to match your business tone — whether that is formal and professional, friendly and conversational, or technical and precise. The rewritten version becomes what the AI receptionist (coming soon) uses, not the original staff-written draft.
Can I override specific AI answers?
Yes. Every knowledge base article has a fallback override field. If you want the AI to give a specific verbatim answer to a particular question regardless of what the brand voice rewrite produces, you can enter it in the override field. Override answers bypass the rewrite process entirely and are used exactly as written. This is useful for answers that must be legally precise or match specific regulatory language.
Who can write knowledge base articles?
Any staff member with IBIOS access can draft a knowledge base article. Drafts go into a review queue before they are approved and passed for brand voice rewriting. Users with the Manager or Admin role can approve articles. This two-step process ensures that no unreviewed content reaches your AI receptionist (coming soon) without a human check.
How long until new articles are live in the AI?
After a manager approves a draft, the brand voice rewrite runs automatically. The rewritten article is then available in the AI receptionist (coming soon)’s context. There is no overnight batch process or deployment step between approval and the article being used.
Can I see what the AI is being trained on?
Yes. The knowledge base management screen shows every article in your library, including its current status (draft, pending review, approved, or override), the original staff-written text, the AI-rewritten version, and whether a fallback override is active. You can compare the original and rewritten versions side by side and revert to a previous version if needed.
What are KB-per-trigger fallback answers?
KB-per-trigger fallbacks are article-level answers that the AI receptionist (coming soon) uses when a specific call trigger fires and no more specific context is available. For example, if a caller asks about a product line that is not in your catalogue, the AI can fall back to a generic KB article about your product enquiry process rather than saying it does not know. This ensures the AI always has a constructive answer, even for edge-case questions.
Which IBIOS product line includes the AI knowledge base?
The AI knowledge base is part of the IBIOS AI Brain. The AI receptionist that will answer callers from it is coming soon. It is built for showroom retailers and bathroom retailers. See also: filling the knowledge base from your website.
