Choosing booking and calendar software: a practical guide for UK businesses
Written by the IBIOS team. IBIOS was built inside a working bathroom showroom in Northern Ireland, where it runs the business day to day. Last updated 18 October 2026.
How do you choose booking software?
List every way a customer gets an appointment with you today: your website, a phone call, an email, someone walking in. The right booking software brings those into one calendar without asking customers or staff to change how they already book.
- Your appointment types. Showroom visits, home surveys, phone or video consultations, walk-ins. Each needs its own length and the right person.
- Where bookings come from. A booking widget on your website, a marketing platform, staff calendars. Count them before you choose.
- Who can be booked. Each member of staff, with clash checks so nobody is in two places at once.
- Keeping calendars in step. Bookings made in one tool should appear in the others. Ask which direction each sync runs and test it.
- What happens after the booking. The appointment should belong to the customer record, so the visit, the quote and the job follow on.
Why do double-bookings still happen?
Because bookings arrive through several doors and each door has its own diary. The website widget does not know about the phone booking, and the phone booking does not know the designer is out on a survey.
IBIOS puts showroom appointments, home visits and phone consultations in one calendar and checks for clashes per member of staff. It is kept in step with Wix Bookings and GoHighLevel, so you can keep the booking tools your customers and staff already use. Walk-in bookings and Google Calendar sync are coming soon, not live yet.
Do you need to replace your website booking widget?
Not if it is one IBIOS works with. If your website takes bookings through Wix Bookings, or your marketing runs through GoHighLevel, those bookings come into the IBIOS calendar. If you use another tool, ask us before you switch anything.
Phone bookings
For many businesses, most bookings still start with a phone call. Today your team takes the call and books into the shared calendar. Bookings answered and made by phone with AI are coming soon in IBIOS, not live yet.
Customer details and consent
A booking holds personal data: names, phone numbers and, for home visits, addresses. UK GDPR applies across the UK, including Northern Ireland, so say on your booking form how you will use the details, and do not add people to marketing lists just because they booked an appointment.
Paper diary, a booking widget, a shared calendar or IBIOS?
How the usual options tend to work out for a business with appointments, visits and walk-ins.
| Option | Best for | Watch out for |
|---|---|---|
| Paper diary at the front desk | One location and one person taking bookings. | Invisible to anyone not at the desk, and no link to the customer record. |
| Website booking widget on its own | Customers booking themselves online. | Phone and walk-in bookings live somewhere else, so clashes still happen. |
| Shared staff calendars | Seeing who is free. | No appointment types, no customer record, and anyone can overwrite anything. |
| IBIOS | Appointments, visits and phone consultations in one calendar with clash checks, kept in step with Wix Bookings and GoHighLevel. | Early access by waiting list. Walk-in bookings, Google Calendar sync and AI phone booking are coming soon, not live yet. |
What you need in place before you start
- Your appointment types and how long each takes, including travel for home visits.
- Which staff can take which appointment types, and their working hours.
- The booking tools you use today (for example Wix Bookings or GoHighLevel) and who owns each account.
- A booking-form privacy line that says how customer details will be used.
- Upcoming appointments already in the diary, so nothing is lost at the switch.
What it costs
The expensive part of a poor booking setup is the designer sitting in the showroom while the customer waits at home, and the enquiry lost because nobody could see a free slot.
Founding prices for waiting-list members are explained on the pricing page. Bookings can be used on their own or with the CRM and Quote Studio.

What people get wrong
- Keeping a separate diary for phone bookings.
- Setting every appointment to the same length.
- Forgetting travel time between home visits.
- Turning on calendar sync without testing which way it runs.
- Adding everyone who books to a marketing list.
- Paying for an AI booking feature you have only seen in a demo. Ask whether it is taking real bookings.
