Why most software misses the mark

What’s different about running a bathroom showroom

A bathroom showroom is not a shop and it is not a building site. It sits between the two, and most software misses that entirely.

You carry stock from multiple suppliers — not one warehouse with a single price list, but many different brands from several different accounts, each with its own discount structure, lead time, and product range. A bath from Supplier A might be the same Carron product at a different margin to the same bath from Supplier B. Getting that wrong on a quote costs you money you will never recover.

Your customers do not browse and buy. They visit the showroom, take their time choosing finishes, leave, come back, change their minds about the tiles, and then ask you to project-manage everything from survey to snag. The relationship spans weeks, sometimes months.

And your phone rings constantly. Every unanswered call is a risk, and every call that gets answered but not properly logged is a follow-up that never happens.

IBIOS was built for exactly this operating environment. Every feature exists because a bathroom showroom needed it.

How IBIOS helps bathroom retailers

Six things that change your working day

Built inside a working bathroom showroom in Co. Antrim — and opened to the trade because every showroom in the UK deserves these tools.

Import Your Own Catalogue

Import your own product catalogue — baths, shower trays, enclosures, tiles, and accessories — with full specifications, SKU, and MPN. Your catalogue stays private to your company.

Multi-Brand, Per-Supplier Pricing

Set up every brand you stock — Carron, Scudo, Casabano, Trojan, and more. Multiple suppliers can carry the same brand at different margins. IBIOS tracks each supplier-brand relationship separately and applies the right pricing to every quote.

AI Quote Processing from Supplier PDFs

Upload the supplier document. AI extracts every line item — product code, description, quantity, price — into quote lines in about 60 seconds, then matches them to your own products. Low-confidence items are flagged for human review before you build the customer-facing quote.

AI Receptionist (coming soon)

Coming soon: an AI phone agent that will answer incoming calls, including evenings, Saturdays, and bank holidays. It will check live stock data before answering and log leads straight into IBIOS.

Partial Delivery Tracking

Log which items have arrived and which are still outstanding, line by line. Your installer is notified of what is on-site so they can plan. No more calls to the office to ask what has turned up.

Pay by Link — Faster Payments

Embed a payment link in every quote and invoice. Customers pay a deposit by card from their phone. No bank transfer to chase. Payments are recorded in IBIOS against the job.

Photo-to-Quote

From supplier document to customer quote, without the retyping

The most time-consuming part of running a bathroom showroom is manual quoting. A supplier sends a PDF. Someone in the office types every line item — product code, description, price — into a spreadsheet, works out the margin, writes the covering letter, and emails it to the customer. For a full bathroom quote with many products, that retyping eats a large part of the day.

IBIOS’s Photo-to-Quote feature eliminates that process. Upload the supplier document — PDF, scanned image, or a photo taken on your phone. IBIOS reads every line item and extracts the product code, description, quantity, and price. Each extracted item carries a confidence score. Items scored above your threshold are approved automatically. Items where the AI is less certain are flagged for a quick human review — you see the extracted text and the original document side by side, confirm or correct, and move on.

Once the items are confirmed, you apply your margin rules, choose which products to include in the customer-facing document, and IBIOS generates a professional Word document with your branding.

Why generic software does not work here

Bathroom showrooms have requirements that no general-purpose CRM or ERP was designed to handle. IBIOS was.

Shade-lot tile tracking

Every tile order carries a batch and shade-lot reference. IBIOS flags mismatches between what was ordered and what arrived — before goods leave your warehouse.

Per-brand, per-supplier pricing

Your Carron rate from Supplier A and your Carron rate from Supplier B are held separately. IBIOS applies the correct discount automatically when you build a quote.

Quote Studio — PDF to quote lines in about 60 seconds

Upload a supplier quote PDF. AI reads it into quote lines in about 60 seconds, then matches them against your imported catalogue. Review anything flagged, then send the customer quote.

AI Receptionist (coming soon) — live data, not scripts

Coming soon: when a caller asks if a product is in stock, the AI Receptionist will query your live inventory before answering, along with job status, delivery dates, and appointment slots.

Supplier orders linked to installations

Every supplier order is raised from the job record, so you can see what is outstanding against the booked installation date. Late-delivery alerts are coming soon.

Founding prices for waiting-list members

Choosing software for a bathroom showroom: what matters and what to check

Written by the IBIOS team. IBIOS was built inside a working bathroom showroom in Northern Ireland, where it runs the business day to day. Last updated 18 October 2026.

How do you choose software for a bathroom showroom?

Start from the job, not the till: a bathroom is a project with a design, a quote, a deposit, several supplier orders, a fitting date and a balance. Pick software by how well it follows that one job from first visit to final payment, then look at everything else.

  1. Bookings. Showroom appointments, home surveys, phone consultations and walk-ins, in one diary, with no double-booking of the same designer.
  2. Quotes from supplier documents. Your prices arrive as supplier PDFs and price lists. The software has to take those in, not make you retype them.
  3. Deposits and balances. Deposit on acceptance, balance before or on fitting. Whoever takes the money must see the job, not a separate spreadsheet.
  4. Supplier orders against the job. Every order placed for a job, what has arrived and what is late, visible to sales and to the warehouse.
  5. Stock and shade lots. Tiles from the same batch matter. Track the batch you hold and what you have promised to whom.
  6. Who sees what. Designers, warehouse staff and fitters need different views. Payment details are for managers and owners.

What size of showroom is this for?

IBIOS runs a working bathroom showroom with a small sales team, a warehouse and third-party fitters. It suits independent showrooms and small groups; each IBIOS product can also be used on its own if you only need, say, quoting or bookings.

If you run more than one brand from one business, each brand can be kept separate: staff limited to one brand see only that brand’s customers, quotes and jobs.

How long does it take to quote a bathroom from the supplier’s PDF?

IBIOS reads the supplier’s quote, matches each line to your catalogue, applies your prices and VAT, and gives your designer a draft to check: minutes rather than an evening of typing for a typical suite.

If the customer pays a fitter directly, the quote can show a separate fitting estimate range, so nobody mistakes it for part of your price.

Tiles: the batch is the product

Two boxes of the same tile from different batches can look different on the wall. Track the batch (shade lot) you hold, reserve it to the job, and check it at goods-in, before it reaches the customer’s house.

VAT relief and the rules that differ across the UK

VAT relief on adaptations for disabled customers (for example, some level-access showers) is a UK-wide HMRC rule, including Northern Ireland, and needs the customer’s eligibility declaration on file. Software should let you mark the eligible lines and keep the declaration with the job.

Building regulations and electrical rules for bathrooms are not identical across England, Wales, Scotland and Northern Ireland. Your quotes and job notes should say which rules a job was planned to, and your fitters should confirm them on site.

Retail EPOS, kitchen-and-bathroom design suite, generic CRM or IBIOS?

How the usual options tend to work out for a bathroom showroom that quotes projects.

OptionBest forWatch out for
Retail EPOS / till systemCounter sales and stock of boxed products.A project with a deposit, supplier orders and a fitting date does not fit a till receipt.
Design / CAD suiteDrawings and visuals for the customer. The design is not the job: orders, deposits and balances usually live elsewhere.
Generic CRMLeads and follow-ups.No supplier orders, stock or shade lots; you end up bolting on spreadsheets.
IBIOSThe whole bathroom job: bookings, supplier-PDF quotes, deposits, supplier orders, stock and shade lots.Early access by waiting list. The AI receptionist and QuickBooks sync are coming soon, not live yet.

What you need in place before you switch

  • Your supplier price lists and your own product catalogue as files; your catalogue stays private to your business.
  • Your appointment types: showroom visit, home survey, phone consultation, and how long each takes.
  • Your deposit and balance rules, and your quote terms.
  • Who does what: designers, warehouse, managers, and which of them may see payment details.
  • Your list of fitters, if customers book them through you.

What it costs

The fee is not the big number. Lost deposits, re-quoting after supplier price rises, and orders that arrive after the fitting date cost a showroom far more than software does.

Founding prices for waiting-list members are explained on the pricing page. Start with the product you need most, quoting or bookings for example, and add others later.

What people get wrong

  • Buying a till system for a project business.
  • Keeping supplier orders in a spreadsheet that the sales team cannot see.
  • Taking deposits without recording the transaction reference against the job.
  • Not reserving the tile batch at goods-in.
  • Showing payment details to every member of staff.
  • Trusting a demo of a feature that is "coming next month". Ask what runs in a real showroom today.
