Android app for staff of UK businesses running IBIOS

A job management app for your staff on Android

The IBIOS mobile app puts the working day on your staff’s Android phones: a today view, jobs, quick quotes, photos, payments and refunds, supplier and web orders, tasks and typed Ask IBIOS questions, behind the phone’s biometric lock. It is Android only and provided to IBIOS customers directly, not through an app store. iPhone and barcode scanning are coming soon.

Early access by waiting list.

What does the app connect to?

The app works on the same records as IBIOS on the web. Quotes sit with the rest of your work in Quote Studio, a payment recorded on the phone is part of payments and cash flow, and tasks are the same ones as in job and project boards. The app includes a warehouse hub for the IBIOS warehouse; its scanning screens (goods-in, putaway, picking) depend on barcode scanning, which is coming soon.

A mobile app for trade business staff: what to check before you choose

Written by the IBIOS team. IBIOS was built inside a working bathroom showroom in Northern Ireland, where it runs the business day to day. Last updated 18 October 2026.

How do you choose a job management app for your staff?

Start with the jobs your people do away from a desk, then check the app shows the same records as the office, then look at security, and only then at extras. An app that keeps its own copy of the job, separate from the office system, just moves the double keying from the van to the evening.

  1. The working day. Staff should open the app and see today: their jobs, tasks and what needs doing next. The IBIOS Android app opens on a today view.
  2. One set of records. Quotes, photos, payments and orders taken on the phone should land on the same customer and job the office sees. In IBIOS they do, because the app works on the same records as the web system.
  3. Money on the move. Check whether staff can record a payment or a refund against the job from the phone. The IBIOS app can.
  4. Security. A phone left in a van or on a counter should not open the business to anyone. The IBIOS app uses the phone’s biometric lock.
  5. How the app reaches your phones. Ask whether it comes from an app store or directly from the supplier, and which phones it runs on. The IBIOS app is Android only and provided directly to IBIOS customers, not through an app store; iPhone is coming soon.

Who is the IBIOS mobile app for?

Staff who work away from a desk: surveyors and estimators visiting customers, showroom staff on the shop floor, managers checking the day, and warehouse staff on the stock side. It suits any UK business already running IBIOS, from trade businesses and showrooms to shops that hold stock.

The app is part of IBIOS rather than a separate product with its own data. IBIOS was built inside a working bathroom showroom, Isabella Bathrooms, and the app works on the same records as IBIOS on the web.

What can staff do on the phone today?

Live today on the Android app:

  • A today view: the day’s jobs and tasks in one place.
  • Jobs: open a job and see the customer, the work and where it stands.
  • Quick quote: start a quote while you are with the customer.
  • Photos: take photos and keep them on the job, so nobody asks for them by text later.
  • Payments and refunds: record a payment or a refund against the job.
  • Supplier orders and web orders: check what has been ordered from suppliers and what has come in from your web shop.
  • Tasks: see and update your own tasks.
  • Ask IBIOS: type a question about your business and get an answer from your own records.

Is it on Google Play or the App Store?

No. The IBIOS app is Android only and we provide it to IBIOS customers directly, not through Google Play or any other app store. An iPhone app is coming soon.

If your team uses a mix of phones, plan for that now: Android staff can use the app today, and everyone can use IBIOS in a web browser.

How is the app kept secure if a phone goes missing?

The app uses the phone’s biometric lock, such as a fingerprint or face unlock where the phone supports it, so picking up an unlocked phone is not enough to open the business records. Staff sign in with their own IBIOS login rather than a shared one.

Good practice still matters: a screen lock on every work phone, and removing a leaver’s IBIOS access on their last day.

What is still coming soon?

We say plainly what is not ready yet:

  • An iPhone app (coming soon).
  • The app includes a warehouse hub; its scanning screens (goods-in, putaway, picking) depend on barcode scanning, which is coming soon.
  • Asking IBIOS out loud rather than typing (coming soon).
  • Field tracker with GPS check-in, and timesheets and mileage from the phone (coming soon).

What you need in place before you start

  • Android phones for the staff who will use the app, with a screen lock set on each one.
  • An IBIOS login for each person, with the right role for the work they do.
  • A simple rule for photos: they go on the job, not in personal chats.
  • Who may record payments and refunds from the phone, and who checks them.

What it costs

The app comes with IBIOS rather than as a separate product. The bigger cost is usually the one you already pay: details re-keyed from texts and paper, photos chased after the visit, and payments recorded late or not at all.

Founding prices for waiting-list members are explained on the pricing page.

What people get wrong

  • Choosing a field app that keeps its own customer list, then keying everything twice.
  • Letting job photos live in personal phones and group chats.
  • Giving every phone full access when most staff need only their own jobs and tasks.
  • Leaving work phones without a screen lock.
  • Assuming an app is in the app store. Ask how it reaches your phones and which phones it supports.
  • Believing a demo of a "coming next month" feature. Ask what staff use in a working business today.
