Orders on spreadsheets, jobs in your head

When you raise a supplier order on a spreadsheet or by email, it sits in a silo. You know the order number. Your supplier knows the order number. But your colleague quoting another customer does not know the order has been raised, your fitter does not know the delivery date, and when the customer calls to ask whether their tiles have arrived, you have to go hunting through emails.

IBIOS Order Management links every supplier order to the customer job record from the moment it is raised. Anyone in your team with access to the job can see every order, its status, acknowledgement number, invoice, and delivery date — without asking you.

When the delivery date is linked to the installation date, IBIOS will alert you if a supplier order is running late relative to the fitting (coming soon). No more finding out on the morning of the install that the bath has not arrived.

How does IBIOS order management software work?

From order creation to goods received — every step tracked inside the job record.

1

Raise

Create the supplier order directly from the IBIOS job record. The customer, job reference, and required products are pre-populated.

2

Track

Log the acknowledgement number when the supplier confirms. Update delivery dates as they come in.

3

Receive

Record arrivals — full or partial — against the order lines. IBIOS shows what has arrived and what is outstanding.

4

Alert

Coming soon: if a delivery date slips past the installation date, IBIOS will flag it so you can act before the fitter shows up.

Everything included in Order Management

Raised from the job record

Every order is linked to the customer job from creation. The customer name, job reference, and required products carry through automatically.

Acknowledgement number tracking

Log the supplier’s acknowledgement number and expected delivery date when they confirm. Timestamped and visible to the whole team.

Partial arrival recording

Track deliveries line by line. Record which items have arrived and which are still outstanding. Useful when a large order arrives in multiple deliveries.

Installation date linking

Coming soon: set an arrival-before-installation flag, and IBIOS will alert you if a delivery is going to arrive after the fitting date.

Invoice tracking

Log supplier invoices against the order. Match invoice numbers to goods received. Keep the paper trail in the job record, not your email inbox.

Multi-supplier per job

A typical bathroom job involves products from several suppliers. Raise and track as many supplier orders as needed on a single customer job.

Can web orders sit alongside your showroom orders?

Yes. If you sell online through ShopWired or Wix, IBIOS brings those orders in automatically, so web orders are handled in the same place as everything else rather than in a separate shop dashboard.

  • ShopWired order sync: orders arrive in IBIOS with the customer’s order notes, and the order status can be edited in IBIOS as the order moves along.
  • Manual web orders: take an order by phone or email and enter it as a web order, so it follows the same process as the ones that came in online.
  • Back-orders: back-orders can be recorded against web orders, so a shortfall is written down instead of being missed.
  • Wix order sync: orders from a Wix shop come into IBIOS too.

Syncing stock levels back out to your online shops and marketplaces is coming soon, not live yet, so for now keep an eye on online stock figures yourself. See integrations for the shop platforms IBIOS connects to, and Warehouse for goods-in, stock and consignments.

Buying guide

Choosing order management software: a guide for businesses that order for their customers

Written by the IBIOS team. IBIOS was built inside a working bathroom showroom in Northern Ireland, where it runs the business day to day. Last updated 18 October 2026.

How do you choose order management software?

Follow one customer job through its orders before you look at any screens. Count how many suppliers it touches, how often an order arrives in pieces, and who needs to know when something slips. The right software makes that one job visible to everyone; the wrong one adds another place to look.

  1. Customer orders and supplier orders together. Each customer order should show the supplier orders raised for it, not sit in a different system.
  2. Several suppliers per job. A single job can need four or five suppliers. Check each order can carry its own lines, references and dates.
  3. Confirmations and part deliveries. Supplier acknowledgement numbers, revised dates and what has actually arrived, line by line.
  4. Where online orders come from. If you also sell online, decide whether marketplace or website orders should arrive in the same place.
  5. Who needs to see order status. Sales answering the customer, the warehouse booking goods in, and whoever plans the fitting or delivery.
  6. What connects to your accounts. Supplier invoices and customer payments end up in your books. Ask what is synced today.

Why do orders go missing between the customer and the supplier?

Usually because the supplier order is raised in an email, a phone call or a supplier portal, and the only link back to the customer is somebody’s memory. When that person is off, nobody can answer "has my order arrived?".

In IBIOS you raise the supplier order from the customer job. The acknowledgement number, revised dates and each line that arrives are recorded against that same job, and a job can carry orders from as many suppliers as it needs.

What about orders from your website or marketplace?

IBIOS brings in orders from ShopWired and Wix shops, so online orders sit alongside the rest. ShopWired orders arrive with the customer’s notes and a status you can edit in IBIOS; you can also enter phone or email orders as manual web orders, and back-orders can be recorded against web orders.

Syncing stock levels back out to those shops and marketplaces is coming soon, not live yet, so for now keep an eye on online stock figures yourself.

Will it warn you when a delivery is going to be late?

Not automatically yet. Alerts when a supplier delivery date slips past the fitting or delivery date are coming soon in IBIOS. Today the revised date sits on the order, against the job, where sales and the warehouse can both see it.

Whatever software you choose, a late-delivery warning is only as good as the dates people enter. Make updating the expected date part of taking the supplier’s call.

Your customer’s rights when an order is late

For consumer sales, the Consumer Rights Act 2015 applies across the UK, including Northern Ireland. Goods must be delivered within the agreed time, or without undue delay if no time was agreed, and a customer may have the right to cancel if an essential delivery date is missed. Being able to show exactly when you ordered and what the supplier confirmed helps if it comes to a dispute.

Email and spreadsheet, supplier portals, an e-commerce order tool or IBIOS?

How the usual approaches tend to work out for a business that orders goods for specific customers.

OptionBest forWatch out for
Email and a spreadsheetA few orders a week, all handled by one person.Acknowledgements and dates get buried in inboxes, and the job and the order are never in the same place.
Each supplier’s own portalChecking stock and lead times with one supplier. One login per supplier and no view across a whole job.
E-commerce order toolShipping parcels from online sales.Built around parcels and couriers, not jobs that need several suppliers before anything goes out.
IBIOSSupplier orders raised from the customer job, with confirmations and part deliveries tracked against it.Early access by waiting list. Late-delivery alerts, delivery planning, marketplace stock sync and QuickBooks sync are coming soon, not live yet.

What you need in place before you start

  • Your supplier list, with account numbers and how each one prefers to receive orders.
  • Your open orders, so live jobs carry their orders from day one.
  • Your product list or supplier price lists, so order lines match what you quote.
  • A rule for who updates dates when a supplier rings with a change.
  • Your ShopWired or Wix shop details, if you sell online.

What it costs

The real cost of poor order tracking is a fitter or a van sent out before the goods have arrived, and hours spent on the phone chasing suppliers for answers you already had in an email.

Founding prices for waiting-list members are explained on the pricing page. Order management can be used on its own or with Warehouse and Inventory.

What people get wrong

  • Raising supplier orders without a reference back to the customer job.
  • Not recording the supplier’s acknowledgement number and confirmed date.
  • Marking a whole order received when only part of it arrived.
  • Booking the fitting or delivery date before the supplier has confirmed theirs.
  • Running online orders in a separate system from showroom orders.
  • Relying on an alert feature you were promised but have not seen working.
