Payment Evidence

Photo the receipt, skip the data entry: coming soon.

Coming soon: photograph a card receipt and IBIOS will extract the amount, date, and reference automatically, with no manual transcription. The receipt image will be attached to the job payment record as photo evidence.

Planned: two-stage AI vision, a primary model with automatic fallback, and a searchable receipt archive attached to every payment.

The receipt problem every business faces

An installer takes a large deposit at a customer’s home on a Friday afternoon. The card receipt goes in their jacket pocket. On Monday morning they type the amount and reference into the system from memory. On Tuesday the customer calls to query the amount. The receipt is in a different jacket.

Manual receipt transcription creates two problems: it takes time, and it loses the evidence. Coming soon: a photograph taken at the point of payment will solve both, with the data extracted automatically and the image stored against the job record permanently.

IBIOS receipt scan (coming soon) will turn a manual typing task into a photograph, with a permanent evidence trail.

How will AI receipt scanning work?

Coming soon. Photograph, extract, confirm: three steps instead of typing.

01

Two-stage AI vision pipeline

Coming soon: the primary AI vision model will process the receipt first. If extraction confidence is below threshold, an automatic fallback model will run instead, giving the best available result from a single photograph.

02

Photo evidence attached to the payment record

Coming soon: the original receipt image will be stored alongside the extracted data on the job payment record, so a dispute about a payment will have a photograph to back it up, not just a typed entry.

03

No more manual receipt transcription (coming soon)

Typing amounts and references from receipts is slow and error-prone. Coming soon: photograph the receipt and IBIOS will do the extraction, so staff confirm the result rather than entering it from scratch.

From photograph to payment record

Coming soon: the planned process from photographing a receipt to attaching it to a job payment record.

Step 1 — photograph

A staff member will open the IBIOS app, select the job, tap “Scan receipt,” and photograph the card terminal receipt. The image will go to the extraction pipeline straight away.

Step 2 — review extracted data

Extracted fields will be displayed: the amount, the date and time, and the terminal reference. Staff will confirm or correct any field.

Step 3 — attached to job

A payment record will be created on the job (JOB-0042 in this example) with the extracted data and the original photograph attached, searchable by job, date, and amount.

Who will AI receipt scanning be for?

Any business where payments happen away from a desk.

Installation businesses taking payments on site

Coming soon: when an installer takes a deposit or final payment at a customer’s home, photographing the receipt will create a timestamped evidence record straight away. No receipt to lose, no manual entry back at the office.

Businesses managing supplier expenses

Trade merchants, tool purchases, and delivery charges all come with paper receipts. Once receipt scanning launches (coming soon), scanning them at point of purchase will keep the expense record current without a weekly data-entry session.

Businesses preparing for VAT inspections

HMRC expects businesses to be able to produce receipts for claimed expenses. Coming soon: a searchable photo evidence trail in IBIOS will help you respond to an inspection request.

Any business with high receipt volume

The more transactions a business processes, the more valuable automated receipt capture (coming soon) will be. Manual entry is a bottleneck; AI extraction will not be.

Questions about AI receipt scanning

Is receipt scanning available now?

Not yet: receipt scanning is coming soon. When it launches, a staff member will photograph a card receipt using the IBIOS mobile app or browser camera, and a two-stage AI vision pipeline will extract the amount, date, merchant reference, and card type, with an automatic fallback model if confidence is low. The extracted data will be shown for confirmation before it is attached to the job payment record.

What information will IBIOS extract?

Coming soon: IBIOS will extract the transaction amount, transaction date and time, merchant reference number, card type (where visible), and any job or order reference present on the receipt. The original receipt image will be stored alongside the extracted data as a photo evidence record.

What receipt formats will be supported?

When receipt scanning launches (coming soon), printed card payment receipts from standard card terminals will be the primary use case. IBIOS will also handle photographed cash receipts and supplier invoices with standard layouts. Unusual or handwritten receipts may have lower extraction confidence and will be flagged for manual review.

How will receipts be stored?

Coming soon: the receipt photograph will be stored as an attachment on the job payment record in IBIOS, linked to the specific job and payment and retrievable by job reference, payment date, or customer. Receipts will be part of the IBIOS audit trail and will not be deletable without leaving a deletion record.

Will receipt data be editable?

Yes, when receipt scanning launches (coming soon). Before a receipt is confirmed and attached to the payment record, the extracted data will be shown in an editable form so staff can correct any field the AI got wrong. After confirmation, edits will follow the usual audit-logged update process.

Will receipt scanning work for supplier receipts?

Yes. Receipt scanning (coming soon) is designed for both customer payment receipts and supplier purchase receipts. Supplier receipts will be attachable to supplier order records rather than job payment records, giving a photo evidence trail for supplier expenditure as well as customer payments.

Which IBIOS product line includes AI receipt scanning?

AI receipt scanning (coming soon) will be part of the IBIOS Payments product line. It is being built for general builders and electricians. See also: matching a scanned receipt to a payment.
