Choosing an AI assistant for your business data: a practical guide

Written by the IBIOS team. IBIOS was built inside a working bathroom showroom in Northern Ireland, where it runs the business day to day. Last updated 18 October 2026.

How do you choose an AI assistant for your business?

Ignore how fluent it sounds. Every AI assistant writes confident sentences; what separates a useful one is whether its answers come from your own records, whether it shows where each answer came from, and what it does when it does not know.

  1. Where the answers come from. Your own live records, or general knowledge from the internet. Business questions need the first.
  2. Whether it shows its sources. An answer you cannot check is an answer you cannot act on. Look for the record behind every answer.
  3. What it does when it cannot see something. It should say so plainly rather than fill the gap with a plausible guess.
  4. How it learns your business. Facts your team confirms should be kept; unverified ones should be held back until someone checks them.
  5. Who may ask about what. Margins, payments and staff matters are not for every user. Ask exactly how access is controlled.
  6. What it can do, not just say. Answering questions and carrying out tasks are different things. Ask which is live.

What is Ask IBIOS?

Ask IBIOS lets staff type questions about the business and get answers from your own IBIOS records, with the sources shown. Questions like "which quotes for this customer are still open?" or "what did we order for this job?" are answered from live data, not from memory or from the internet.

When Ask IBIOS cannot see something, it says so instead of guessing. It learns facts your team confirms and holds back anything not yet verified.

What is anti-hallucination AI that knows your business?

It is an AI assistant that answers from your own records rather than from general knowledge, shows you the record behind each answer, and admits when it does not know. That is how Ask IBIOS works today for typed questions. No AI is right every time, so the point of sources is that you can check an answer before you act on it.

Ask IBIOS sits across your customer records, quotes, orders and stock, so it can answer questions that would otherwise mean opening several screens. See Ask IBIOS for examples and anti-hallucination AI for how it avoids guessing.

Why do AI assistants make things up, and how do you spot it?

General-purpose AI tools are built to produce a likely-sounding answer. Asked about your business, they will often produce a likely-sounding but wrong one. The defence is simple: only trust answers that point to a record you can open, and test any tool with questions you already know the answer to, including some it should not be able to answer.

Answering questions versus doing the work

Ask IBIOS answers typed questions today. Voice questions are coming soon. AI agents that carry out multi-step work, such as suggesting reorders, checking goods-in against orders, working out tile coverage or checking the till, are also coming soon, not live yet.

Your data and AI

UK GDPR applies across the UK, including Northern Ireland, whether or not AI is involved. Before using any AI assistant on customer data, check what data it sends, to whom, and whether it is used to train anyone else’s models. Ask for it in writing.

What you need in place before you start

  • Your customers, quotes, orders and stock in IBIOS: Ask IBIOS answers from what is there.
  • A short list of the questions staff ask each other most often, to test it with.
  • Someone to confirm or correct the facts it learns in the first weeks.
  • A decision on which roles should have access to which information.
  • An updated privacy notice if you use AI on customer data.

What it costs

AI tools vary widely in how they charge, from flat fees to charges per question. The hidden cost is acting on a wrong answer, which is why sources and an honest "I don’t know" matter more than price.

Founding prices for waiting-list members are explained on the pricing page.

What people get wrong

  • Judging an assistant on how fluent it sounds rather than whether it shows sources.
  • Testing only with questions it can answer.
  • Pasting customer data into a general chatbot without checking where it goes.
  • Expecting the AI to know things that were never recorded anywhere.
  • Letting unverified "facts" become the answer everyone repeats.
  • Buying for AI agents that are still on a roadmap. Ask what it does today.
