Quality Control

IBIOS flags what it’s unsure about.

Every line item extracted by AI from a supplier quote carries a confidence score. Items below your configured threshold are automatically flagged for human review before the quote reaches your customer.

Configurable threshold. Per-item scoring. Review queue with original document context. Corrections stored for continuous improvement.

AI that fails silently is worse than no AI at all

A supplier quote is processed automatically. The AI misreads a quantity on one line — a smudged scan, an ambiguous abbreviation, an unusual unit of measure. The extracted value looks plausible, so it passes through without a flag.

The quote goes to the customer with the wrong quantity. The customer accepts. The order is placed. The discrepancy surfaces when the delivery arrives. At that point, it is a dispute, not a correction.

Confidence scoring catches these moments. When the AI is uncertain, it says so — the item goes to review rather than through. Your team makes the call on the ambiguous extractions and lets the confident ones through automatically.

Precision review, not blanket checking

Confidence scoring directs review effort to the items that need it. High-confidence extractions require no human time at all.

01

Per-item confidence scoring

Every line item extracted from a supplier quote carries its own confidence score from 0 to 1.0. Scores are independent — one quote can mix high-confidence items with flagged ones. Each is assessed individually based on the extraction difficulty for that specific line.

02

Configurable review threshold

The review threshold is a starting point that IBIOS administrators can adjust to match how much review their team has capacity for. Change it once in settings; the new threshold applies to all subsequent extractions immediately.

03

Review queue with document context

Flagged items show the relevant section of the original document alongside the extracted value. Your team sees exactly what the AI saw when it made the uncertain extraction — making the correct/reject decision straightforward.

What do AI quote confidence scores mean?

Scores map to real extraction conditions, not arbitrary thresholds.

High

High confidence

Clear digital PDF, unambiguous text, exact product match. Passes through automatically.

Acceptable

Acceptable confidence

Minor uncertainty in one element — perhaps spelling variant or slightly ambiguous unit. Passes through by default but reviewable.

Below threshold

Below threshold — flagged

Meaningful uncertainty in extraction. Routed to review queue automatically. Original document section shown alongside.

Low

Low confidence — flagged priority

Significant uncertainty. May indicate poor scan quality or non-standard document format. Appears at top of review queue.

Who benefits from confidence-gated quoting?

Any business where a quote error creates a customer expectation that is costly to correct.

Businesses where a wrong quote line costs money

An incorrect quantity or price on a quote that is sent to a customer creates an expectation. Confidence scoring ensures uncertain items are checked before the customer sees them.

Teams processing scanned supplier documents

Scanned PDFs vary significantly in quality. Confidence scoring adapts to the source document — a clean digital PDF gets high scores across the board; a faded scan surfaces the uncertain lines automatically.

High-volume quoting operations

When processing many quotes, manually checking every extraction is not practical. Confidence scoring directs attention to the items that need it and lets the rest through without review overhead.

Businesses with complex product catalogues

Where many similar products exist in the catalogue, ambiguity is higher. Confidence scoring catches the genuinely ambiguous matches and routes them for human resolution rather than picking one silently.

Questions about AI quote confidence scoring

What is a confidence score?

A confidence score is a number between 0 and 1.0 that represents how certain the AI is about a specific extraction from a supplier quote document. A score of 0.95 means the AI is highly confident in the extracted value — the text was clear and the match was unambiguous. A score of 0.45 means the extraction involved significant uncertainty, perhaps due to poor document quality, ambiguous phrasing, or multiple plausible interpretations.

What threshold triggers a review flag?

A configurable threshold determines when items are automatically flagged for review and routed to the quote review queue. IBIOS administrators can adjust the threshold to match how much review their team has capacity for — higher for more cautious operations, lower for high-volume workflows where only the most ambiguous extractions need checking.

Who sees flagged items?

Flagged items appear in the IBIOS quote review queue, visible to all staff with the quote approval permission. The review queue shows each flagged item with its extracted value, confidence score, the original document section it came from, and the AI’s top alternative interpretations where applicable. The queue is sorted by quote date so older flagged items surface first.

How do I approve a flagged item?

Open the flagged item in the review queue. Review the extracted value against the original document section shown. If the value is correct, click Confirm — the review flag is cleared and the item is included in the quote. If the value is wrong, edit it directly, then click Confirm with correction. Confirmed corrections are stored and may improve future extraction accuracy for similar patterns.

Does confidence scoring slow down quoting?

No. Confidence scores are generated as part of the existing extraction pipeline — there is no additional processing step. The scoring adds negligible overhead to the extraction time. The review queue only adds time for items that genuinely needed a human check — items that would have been incorrect if sent without review.

What causes a low confidence score?

Low confidence is caused by: poor source document quality (blurry scan, faint print, handwritten text), ambiguous product descriptions (same product name used across multiple SKUs), OCR errors in the source document, non-standard supplier formatting, and line items where the unit of measure is unclear (e.g. per tile vs per m²). Each low-confidence item shows which factor drove the low score so your team understands the reason.

Which IBIOS product line includes AI quote confidence scoring?

AI quote confidence scoring is part of the IBIOS Quote Studio product line. It is built for bathroom retailers and tile showrooms. See also: reviewing a low-confidence quote before it is sent.
