Coming soon

Automatic quote follow-up is coming soon.

Coming soon: after a quote is emailed, IBIOS will follow up automatically at day 3 and day 7 if the customer has not responded. Each email will be personalised, include the payment link, and stop the moment the customer acts. It is not live yet.

Live today: the quote pipeline shows every quote by stage and how long it has been waiting, so your team can see which quotes need a follow-up and send it themselves.

Why do quotes go cold without follow-up?

You send a quote on Monday. Wednesday comes and goes. By Friday, you are busy with new enquiries and the quote is still unanswered. You mean to follow it up. You do not. Two weeks later, the customer has chosen someone who called them back.

This is not a discipline problem. It is a visibility problem: manual follow-up depends on remembering which quotes are waiting and for how long.

Today, the IBIOS quote pipeline puts every waiting quote and its age in front of your team. Coming soon, IBIOS will also send the follow-up for you.

How automatic follow-up will work

Coming soon, not live yet. Here is the planned sequence once a quote is emailed.

01

Quote is sent

Coming soon: when you move a quote to Sent status and email it, IBIOS will register it for follow-up. Today, the quote pipeline records the stage and shows how long it has been waiting.

02

Day 3: first follow-up (coming soon)

If the quote is still unanswered at day 3, IBIOS will send a friendly personalised email referencing the quote by name and value, with the payment link included.

03

Day 7: second follow-up (coming soon)

If still unanswered at day 7, a second follow-up will go out with a slightly different tone, acknowledging the customer may need more time and offering a callback.

What is live now and what is coming

Visibility of every quote today; automatic follow-up when it launches.

Recover quotes that go quiet

Most unanswered quotes are not rejections. They are customers who got busy, forgot to reply, or lost the email. A well-timed follow-up gives them an easy way back in before the quote goes cold.

See which quotes need chasing today

Live now: the quote pipeline shows every quote by stage and age, so staff can see at a glance which quotes need a follow-up and send it themselves. Coming soon: IBIOS will send those follow-ups automatically.

Payment link always to hand

Pay by link is live: staff send the payment link by email or copy it into their own message. When automatic follow-up launches, the link is planned to be included in every reminder email.

Status-aware by design

The planned follow-up will check quote status before every send. A customer who accepted early will not receive a chaser, and a customer who declined will not be contacted.

What will an automated quote follow-up email look like?

Coming soon: IBIOS will generate personalised follow-up emails that do not feel like automated chasers. They will use the customer’s name, the quote reference, and a natural tone. These are illustrative examples.

Day 3 follow-up (coming soon), example

“Hi Sarah, I wanted to follow up on the bathroom quote we sent over on Monday (Ref: QUOT-0142). If you have any questions about the specification or the pricing, I am happy to talk it through. Your deposit link is below whenever you are ready to proceed.”

Day 7 follow-up (coming soon), example

“Hi Sarah, just a quick note to check the quote (QUOT-0142) is still with you. We completely understand if the timing is not quite right. If it helps, we can discuss the project in more detail or look at phasing the work. Your quote link is below, and I am always happy to take a call.”

Questions about automated quote follow-up

Is automated quote follow-up live in IBIOS?

No. Automatic quote follow-up is coming soon and is not live yet. It runs on IBIOS workflow automation rules, which are switched off today. What is live is the quote pipeline: every quote shows its stage and how long it has been waiting, so your team can see which quotes need a follow-up and send it themselves.

How will automated quote follow-up work when it launches?

When it launches, moving a quote to Sent status will start a follow-up sequence. At day 3 and day 7, if the quote is still in Sent status (not yet approved or declined), IBIOS will send a personalised follow-up email to the customer using their name, the quote reference and the quote value. Until then, follow-ups are sent by your team.

Will the follow-up timing be configurable?

That is the plan. The default will be day 3 and day 7 after the quote was emailed, with the intervals adjustable per business, and either follow-up switchable off on its own. Follow-ups will only fire while the quote remains in Sent status.

Will the follow-up email include the payment link?

That is planned. Pay by link is available in IBIOS today: staff can send the payment link by email or copy it into their own message. When automatic follow-up launches, the reminder email is planned to carry the same payment link as the original quote email.

What happens after a quote is accepted?

When automatic follow-up launches, a quote that moves from Sent to Approved will have its pending follow-ups cancelled, so a customer who has already accepted is never chased. Today, an approved quote simply moves along the pipeline and drops out of the list of quotes waiting for a reply.

How do I follow up quotes in IBIOS today?

Open the quote pipeline. It shows every quote by stage and how long each one has been waiting, so the quotes that need chasing stand out. Your team then emails or calls the customer from the quote record. The follow-up is sent by a person, not by IBIOS automatically.

Which IBIOS product line will include automated quote follow-up?

Automated quote follow-up (coming soon) will be part of the IBIOS Quote Studio product line. It is built for kitchen retailers and fitters and glaziers. See also: quote follow-ups in practice.
