Pay by Link & QR Payments

Pay by link: send a payment link in seconds. Get paid before you leave.

Pay by link lets your customer pay a deposit or balance by card from a secure link. Approve a quote in IBIOS, then send the payment link by email, copy it into your own text or WhatsApp message, or embed it as a QR code in the quote PDF. The customer pays on their phone and the payment is logged to the job.

Powered by Stripe or SumUp. Deposit and balance splits. Payments logged to the job.

How does pay by link work for tradespeople?

From approved quote to paid in four steps, with no bank details to read out. Each payment is recorded against the job with the provider and transaction reference.

1

Approve the quote

Approve a quote in IBIOS. Specify the full amount, or split into a deposit and a balance. Raising invoices in IBIOS is coming soon.

2

Generate the link

IBIOS generates a secure payment link and a QR code. The QR code is embedded directly in the quote PDF.

3

Send to customer

Email the link, paste it into your own message, or hand the customer the PDF. They scan the QR code or tap the link and pay on their phone.

4

Payment recorded

Payment confirmation comes back from Stripe or SumUp. The payment is recorded against the job with the provider and transaction reference.

Pay-by-link on quotes: deposit on the day of yes

The gap between “quote sent” and “deposit received” is where jobs fall through. Put the payment request inside the quote itself and the customer can pay the moment they decide.

  • The payment link and QR code are embedded in the quote PDF and in the email that carries it.
  • Set a deposit percentage per job type, or a custom amount on any quote; the balance link follows once the deposit is paid.
  • Deposit paid, balance outstanding or paid in full shows on the job record in real time, without leaving IBIOS.
  • It adds to your existing quote workflow; your bank and payment accounts stay exactly as they are.

Who is pay by link for?

Pay by link makes the biggest difference for businesses where the customer isn’t in the showroom when the payment is due.

Bathroom fitters on site

Send the payment link from the customer’s home at job completion. Get paid the same day instead of waiting for a bank transfer.

Showroom sales teams

Embed the QR code in the quote PDF and hand it to the customer in the showroom. The deposit can be paid before they leave.

Tile and kitchen retailers

Large orders often start with a deposit. Generate the deposit link from the quote in one click. No separate invoicing step needed.

Plumbers and electricians

Trade jobs end with the customer at home and the payment due on a phone. Pay by link removes the awkward card reader and the bank-transfer wait.

What do people ask about pay by link?

What is pay by link?

Pay by link is a way to take a card payment by sending the customer a secure payment link instead of using a card reader. In IBIOS, staff send the link for a deposit or balance from the quote, and the customer pays on their phone.

What payment providers does pay by link use?

IBIOS pay-by-link is powered by Stripe or SumUp, depending on your preference. Both support card payments. You connect your own Stripe or SumUp account — IBIOS does not hold any card data.

Can I collect a deposit and then the balance separately?

Yes. IBIOS supports deposit and balance splits. When raising a quote, you specify the deposit amount and the balance amount. IBIOS generates a payment link for the deposit first. Once the deposit is paid, a separate balance payment link is generated. Each payment is recorded against the same job with the provider and transaction reference.

Is the QR code embedded in the quote PDF?

Yes. IBIOS generates QR codes as base64 PNG images and embeds them directly in the quote PDF. The customer can scan the QR code from the printed or on-screen document with their phone and pay immediately. No separate link needs to be sent.

How does IBIOS record payments?

When a payment is completed via the link or QR code, IBIOS receives a confirmation from Stripe or SumUp and the payment is recorded against the job with the provider and transaction reference. Raising and sending invoices from IBIOS is coming soon.

Does pay by link work on mobile?

Yes. Payment links open in the browser on any device — iPhone, Android, or desktop. The payment page is mobile-optimised. You can also send the link from IBIOS when you are on site at a customer’s property.

What if the customer would rather pay by bank transfer?

Both options can appear on the same quote: your account number and sort code in plain text alongside the payment link and QR code, so the customer chooses whichever suits them.

Who receives the money when a customer pays by link?

You do. You connect your own Stripe or SumUp account, your payment provider’s standard card fees apply, and the money goes straight to you; IBIOS never touches the funds. Founding prices for waiting-list members are explained on the pricing page.

Which IBIOS product line includes pay by link?

Pay by link belongs to the IBIOS Payments product line, where deposits and balances are recorded against each job. It is built for plumbers and electricians. See also: payment by link explained for trade businesses.
