From a supplier’s PDF to a customer quote without the retyping.
Upload the supplier document. IBIOS reads every line, matches products against your catalogue, and generates a branded customer quote. You review flagged items and send. No manual re-entry.
Accepts PDF, JPG, and PNG, including multi-page supplier documents. Import your own product catalogue from any supplier.
How does photo-to-quote work?
Four steps from supplier document to customer quote — the AI handles the extraction in between.
Upload
Drop the supplier PDF or phone photo into IBIOS Quote Studio. Multi-page PDFs are supported.
Extract
AI reads every line — product name, SKU, quantity, price — and matches each one against your imported product catalogue and your supplier pricing.
Review
Items scoring below your confidence threshold are flagged for your review. You approve or correct them. High-confidence lines pass through automatically.
Send
IBIOS generates the branded customer quote as a Word document. Download or send directly. The quote is linked to the customer job record.
How does AI match quote lines to your own products?
Every supplier has its own code and abbreviation for the same item. When IBIOS reads a supplier document, it links each line to the right product in your catalogue automatically, so the quote is priced from your own data.
- Two stages: a fuzzy search finds the closest catalogue products, then the AI chooses between them in context.
- Batch and shade-lot codes are stripped before matching and kept on the quote line for reference.
- No reliable match? The line is designed to be flagged for review with the original text instead of guessed.
- Staff can correct any match; corrections that recur are used to improve future matching.
Who benefits most
Photo-to-quote saves the most time for businesses that regularly build quotes from supplier documents.
Bathroom showrooms
Bathroom quotes routinely run to many lines across multiple supplier brands. Photo-to-quote reads them into quote lines in about 60 seconds, then matches them to your own products.
Tile retailers
Tile merchants receive supplier pricelists as PDFs. Upload the pricelist, select the relevant lines, and generate the customer quote immediately.
Kitchen retailers
Kitchen specifications arrive from manufacturers as multi-page PDFs. IBIOS processes the whole document and maps each item to your catalogue.
Plumbing trade suppliers
Plumbers building quotes from merchant pricelists can photograph the page and have a customer quote ready before leaving the merchants.

Questions about Photo-to-Quote
What file formats does IBIOS accept for quote processing?
IBIOS Quote Studio accepts PDF files, JPEG images, and PNG images. Photos taken on a mobile phone upload directly. Multi-page PDFs are supported. If a supplier sends a Word document or Excel pricelist, export it as a PDF first before uploading.
How accurate is the AI line extraction?
Accuracy depends on document quality and how closely product references match the IBIOS catalogue. Clean supplier PDFs with standard SKUs give the best results. Every line receives a confidence score. Items the AI is uncertain about — those scoring below your confidence threshold — are queued for your manual review before the quote is generated.
Can I review items before sending the quote?
Yes, always. The review step is not optional. IBIOS flags all low-confidence lines in a review queue. You approve or correct each flagged item before the customer-facing document is generated. High-confidence lines pass through automatically, but you can inspect them too. Nothing goes to the customer without your confirmation.
Does the customer receive a branded quote document?
Yes. The output from Quote Studio is a branded Word document (.docx) formatted with your company name and pricing. You can download it or send it directly from IBIOS. The document is also stored against the customer job record for future reference.
Can I use Quote Studio on its own?
Yes. IBIOS products can be used on their own or together, so you can start with Quote Studio and add other parts of IBIOS later. Founding prices for waiting-list members are explained on the pricing page.
How does IBIOS match supplier product codes to my catalogue?
Each supplier names the same product differently, so IBIOS runs a fuzzy search for the closest catalogue products and the AI picks the right one in context. Batch and shade-lot codes (common on tiles) are ignored for matching but kept on the line. Every match shows its confidence, anything uncertain is flagged as unmatched rather than guessed, and staff can change any match before the quote goes out.
Which IBIOS product line includes Photo-to-Quote?
Photo-to-Quote is part of IBIOS Quote Studio, which reads a supplier PDF or a photo of a handwritten form into quote lines in about 60 seconds, then matches them to your own products. It is built for bathroom retailers and tile showrooms. See also: turning a supplier estimate into a quote.
