Who is the 2026 buyer guide for?

This guide is for UK trade business owners who are evaluating software seriously for the first time — perhaps moving off spreadsheets, or replacing a legacy system that no longer fits the business — and want a structured way to assess what they are being sold.

It is also useful if you are being pitched something new (an AI receptionist, a new quoting tool, a payment platform) and want a consistent set of questions to ask every vendor so you can compare them properly.

The guide does not recommend specific products. It gives you the framework to evaluate any product on the market, including IBIOS, and make the decision that is right for your business.

ERP evaluation criteria (sample)

  • ›Does it handle your specific trade type (bathroom supply, tile retail, combined) or is it generic?
  • ›Can it manage the full job lifecycle from enquiry to installation completion?
  • ›Does it support multi-supplier pricing for the same product?
  • ›Is the quoting tool integrated with your product catalogue, or does it require manual price entry?
  • ›What does the migration path look like if you decide to leave?

Red flags (sample)

  • ›The vendor cannot tell you where your data is stored
  • ›No way to see the product working on your own documents before committing
  • ›Training and onboarding are priced separately from the subscription
  • ›The contract has automatic renewal clauses with no exit window
  • ›The AI product cannot explain what it does when it does not know the answer

Frequently asked questions

What is the most important question to ask any software vendor?

Where is my data stored, and who can access it? This question surfaces the most important security and sovereignty issues immediately. You want a clear answer: a named country (preferably UK or EU), a named cloud provider, and a clear statement about who besides you has read access to your data. Vague answers (“our servers”, “the cloud”) are a red flag. Your customer records, job data, and pricing are commercially sensitive — you need to know where they are.

Do I need accounting software integration, or can my ERP replace it?

For most small UK trade businesses, ERP and accounting are best kept as separate, integrated systems rather than combined into one. Your ERP handles operations — customers, jobs, quotes, orders, stock. Your accounting software (Xero, QuickBooks, Sage) handles VAT returns, payroll, and statutory accounts. The two should integrate to avoid double-entry. A single system that claims to do both often does neither well enough for a serious business.

How do I evaluate an AI receptionist before committing?

Ask for a free test period on a separate number — not your main business line. Use that period to call it yourself as if you were a customer. Ask it your most common enquiry types. Ask it something it should not know. Try a social engineering prompt. Ask to speak to a manager. Review the call transcripts afterward. A product that will not let you test it properly on a separate number before committing your main number is not confident enough in its own quality.

What data security questions should I ask before signing up?

Five essential questions: (1) Where is my data stored? (2) Who can access my data besides me? (3) How is my data encrypted at rest and in transit? (4) What is your data breach notification process? (5) Can I export all my data if I want to leave? The last question is especially important — any vendor that makes data export difficult is planning to hold you hostage to their platform.
