What goes on a job sheet?

A job sheet is the record of one job, filled in on site. It should let someone back at the office see what was done, what was used and whether the job is finished, without ringing the engineer. A useful job sheet covers:

  • a job number, the date and who attended;
  • the customer, a contact number and the site address;
  • the work to be done, and a task list to tick off;
  • the materials used, with quantities, so they can be charged for or reordered;
  • time on site for each person, with breaks taken off;
  • notes on snags, extra work the customer asked for, and anything that needs a return visit;
  • whether the job is complete, and signatures from the customer and the engineer.

The free job sheet template above has a section for each of these.

How do I use this job sheet template?

  1. Fill in the job details and the task list in the office before the visit, or print the sheet blank.
  2. On site, tick off tasks and add materials and time as you go. Add rows with the plus buttons if you need more.
  3. Note any snags or follow-up work, and tick whether the job is complete or needs a return visit.
  4. Ask the customer to read the sheet and sign it before you leave.
  5. Press “Print / save as PDF”. Only the job sheet prints, without the website around it.

Planning the visit first? The free site survey checklist covers the survey, and the free quote template covers the price.

When should job sheets move off paper?

Paper job sheets work until they go missing in the van, arrive back at the office days late, or need retyping before anyone can invoice. That is usually when a business starts keeping job records in software.

IBIOS Field Scheduler schedules visits, surveys and installations against each job, with the fitter, access notes and customer in one place. IBIOS Workforce gives you a schedule board of who is on which job and when; timesheets are coming soon. Our guide to quote to cash for trade businesses shows how the job fits between the quote and getting paid.

Frequently asked questions

Is this job sheet template free?
Yes. The job sheet template is free with no sign-up. Fill it in on screen, or print a blank copy for the van, and save it as a PDF if you need a digital copy.
What is a job sheet?
A job sheet records one job: where it is, what needs doing, the materials used, the time spent, whether the job is finished and the customer sign-off. Some trades call it a job card, work sheet or service sheet.
Why get the customer to sign a job sheet?
A signature confirms the work was finished, and any snags noted at the time, which helps if there is a dispute about payment.
How are the hours worked out?
Each row takes the finish time minus the start time minus any break, and the total adds the rows together.
Is my job sheet saved anywhere?
No. It stays in your browser tab only, so print it or save it as a PDF before you close the page.
Can I keep job records in software instead of on paper?
Yes. IBIOS Field Scheduler links each visit and installation to the job record, with the fitter, access notes and customer in one place, and IBIOS Workforce schedules your team. Access is by waiting list.
