Fitter schedule change. Customer knows before they take a day off work.

A fitter calling in sick is unavoidable. A customer taking a wasted day off work because nobody told them is not. Today, the new date is saved on the job in IBIOS and your team tells the customer straight away, while there is still time to change their plans. Coming soon: IBIOS will send the update to the customer automatically the moment the change is saved.

What happens when a fitter calls in sick the day before a job?

Wednesday afternoon. The fitter for Thursday’s job has rung in sick. Installation manager calls the customer — no answer. Leaves a voicemail. Sends a text at the end of the day. Customer is already offline for the evening. They took Thursday off work weeks ago. Booked it in advance.

Thursday morning. Customer is at home. No fitter arrives. They ring the showroom. Staff member explains about the sick call. Customer says they were never told. Voicemail and text were sent, but they didn’t see them in time. They’ve wasted a day’s leave. The trust built up over months of communication evaporates in one morning.

This is not about whether a message was sent. It’s about whether it arrived in time, in the right channel, with enough detail for the customer to act on it. A text sent at the end of the day can easily be too late. Telling the customer as soon as the reschedule is logged gives them the best chance of hearing in time. Today your team does that from the job record; automatic customer updates are coming soon.

How does a rescheduled installation reach the customer?

A step-by-step walkthrough from the installation manager updating the job to the customer confirming the new date. Automatic customer updates are coming soon.

01

Fitter calls in sick Wednesday morning

Installation manager logs the reschedule in IBIOS: original date Thursday 24th, new date Monday 28th, reason: fitter unavailable. The job record is updated immediately.

02

The team tells the customer straight away

The installation manager sees the new date on the job and rings the customer on Wednesday: the installation has moved from Thursday 24th to Monday 28th. Coming soon: IBIOS will send this update automatically when the change is saved.

03

Customer hears in time

The customer hears on Wednesday, well before the original appointment. They cancel their Thursday day off. No wasted leave. No frustration. No angry call to the showroom.

04

Rebook completed without complaint

The customer confirms Monday works. The installation manager notes the confirmation on the job, so anyone who opens it sees the agreed date.

The outcome

Notice

given to the customer by your team as soon as the change is logged

In time

the customer hears before they waste a day off

Confirmed

new date agreed and noted on the job, no complaint call made

The customer’s goodwill is protected because they received accurate information in time to act on it. The reschedule became a minor inconvenience rather than a broken appointment. The installation manager logged the change in IBIOS and rang the customer instead of spending the morning on damage control.

Questions about customer reschedule updates

Can IBIOS tell the customer automatically when a job is rescheduled?

Not yet. Automatic customer updates are coming soon and are not live. Today, when an installation date is changed in IBIOS, the new date is saved on the job and your team tells the customer themselves. Everyone who opens the job sees the same date, so the customer gets a consistent answer.

Will reschedule updates go to the customer by SMS or email?

Customer SMS from IBIOS is coming soon, and so are automatic reschedule updates. Until they launch, your team chooses how to reach the customer, by phone or by their usual email, using the contact details and the new date held on the job.

Can customers reply to reschedule updates by SMS?

Not yet. Customer SMS from IBIOS, including replies logged against the job, is coming soon. Today, if the customer rings or emails back to say the new date isn’t convenient, staff note it on the job so the installation manager can follow up.

Does IBIOS keep a log of all schedule changes for a job?

Yes. Every installation date change is recorded in the job history with a timestamp, the previous date, the new date, the reason given, and the staff member who made the change. This is part of the IBIOS audit trail and is visible in the job record for any authorised user.

Can I set up a customer approval step before confirming a reschedule?

Coming soon. A two-step reschedule, where IBIOS proposes the new date to the customer and asks them to confirm or request an alternative, depends on automatic customer messages, which are not live yet. Today, your team agrees the new date with the customer and then saves it on the job.
