IBIOS vs Spreadsheets: why trade businesses outgrow Excel
Spreadsheets store information you put into them. IBIOS gathers information, processes your quotes, tracks your orders, and lists the payments to chase — none of which a spreadsheet does on its own. AI call answering is coming soon.
This is an honest comparison. Spreadsheets do some things well. IBIOS covers what they cannot.

The right question is not “is my spreadsheet bad?”
The right question is: how much is your spreadsheet costing you in missed calls, slow quotes, late payments, and context lost between jobs?
A spreadsheet only holds what someone types into it. An enquiry that comes in while you are on a job, or a quote that waits until the evening, never reaches it at all. Coming soon: the IBIOS AI receptionist is being built to answer those calls and log them.

Questions about IBIOS vs spreadsheets
Can a spreadsheet answer my phone?
No. A spreadsheet is a place to store information after it has been gathered. Coming soon: the IBIOS AI receptionist will answer your calls, capture the enquiry, log the customer details, and book the appointment, so the information reaches your system without you touching a keyboard.
I built my own spreadsheet system over years. Why would I switch?
If your spreadsheet system is working well and your business is not growing, there may be no reason to switch. If you are spending too long on quotes, losing track of payments, or losing context between jobs and supplier orders, IBIOS is built for those problems today. AI call answering and automatic payment chasing are coming soon. The question is not whether your spreadsheet is good: it is whether the things a spreadsheet cannot do are costing you money.
What does a spreadsheet do that IBIOS does not?
A spreadsheet is more flexible for custom calculations and custom layouts. If you have a highly specific financial model built on years of formulas, IBIOS will not replicate that exactly. IBIOS covers CRM, quoting, supplier orders, stock, payments, call reports, and AI assistance for trade businesses — it is not a general-purpose calculation tool.
Can I export my data from IBIOS if I change my mind?
Yes. You can export your customer, job, quote, and supplier order data in standard CSV format.
What is the cost difference between IBIOS and continuing with spreadsheets?
Spreadsheets cost little or nothing to run. IBIOS pricing: founding prices for waiting-list members; see the pricing page. The useful comparison is what the time spent on manual entry, manual quoting, manual chasing, and missed calls is costing your business.
