Call Intelligence

Every call analysed after you hang up.

IBIOS runs a full post-call analysis pipeline on the call recordings your existing phone provider (GoHighLevel) already makes. Purchase intent score, hot lead flag, urgency level, competitor mentions, follow-up actions, and churn risk — all extracted automatically and surfaced on the customer profile once the analysis completes.

Beyond the signals, IBIOS generates a plain-English debrief after every call: what was discussed, what was agreed and follow-up actions required (coaching notes are coming soon). Filed against the customer record. Available to your manager before the end of the working day.

AI-powered post-call analysis. Powers morning briefing hot leads and churn risk sections.

What is AI call intelligence?

A caller said they needed the job done before Christmas. They mentioned they had already got a quote from another company. They asked about the payment terms twice. Every one of those signals is valuable — urgency, competition, price sensitivity.

Without call intelligence, that information lives in the memory of whoever took the call and disappears when they go home. With IBIOS, it is written to the customer record after the call, available to every team member, and surfaced in the morning briefing if the intent score is high enough.

Call intelligence turns conversations into structured, actionable data. The signals were always there. IBIOS makes them visible.

Six signals extracted from every call

Each signal is extracted independently from the transcript. All six are written to the customer record and available to search, filter, and report on.

Purchase intent score

0.0 – 1.0

A continuous score reflecting how likely the caller is to buy. Based on commitment language, product specificity, date mention, and budget signals.

Hot lead flag

True / False

Set when intent score exceeds your configured threshold. Surfaces the customer in the morning briefing hot leads section.

Urgency level

Low / Medium / High

Derived from time references, pressure language, and deadline mentions. High urgency = prioritise callback today.

Competitor mentions

Named list

Any competitor named during the call. Stored for individual context and aggregated in market intelligence reports.

Follow-up actions

Structured list

Callbacks promised, quotes requested, information to send. Each action creates an entry in the staff action queue.

Churn risk indicators

Present / Absent

Detects frustration language, unresolved complaints, and cancellation signals. Triggers manager notification when present.

The post-call analysis pipeline

From call end to customer record updated, entirely automatic.

01

Call ends

The call recording made by your existing phone provider (GoHighLevel) is fetched and queued for processing.

02

Transcription

Speech-to-text converts the audio to a time-stamped transcript.

03

AI analysis

The AI reads the full transcript and extracts all six signal types.

04

CustomerSignal written

Results are written to the CustomerSignal record. Customer profile and morning briefing update immediately.

Where does call intelligence data appear in IBIOS?

Customer profile — signal strip

Most recent intent score, urgency level, hot lead status, and rolling sentiment trend visible immediately when you open any customer record.

AI morning briefing — hot leads section

Yesterday’s callers with intent score above your threshold, listed by score with their stated follow-up need and urgency level.

Call record — intelligence tab

Full extracted data for each call: raw intent score, all follow-up actions, competitor mentions, and churn risk indicators.

Staff action queue

Follow-up actions extracted from calls (callbacks promised, quotes to send) appear as tasks in the staff action queue automatically.

Pipeline analytics dashboard

Aggregate view of intent scores by pipeline stage, competitor mention frequency, and urgency distribution across all calls in a date range.

Also part of call intelligence

Live today on recordings from your existing phone provider (GoHighLevel).

Call intent classification

Every analysed call is labelled by what the caller wanted (product enquiry, booking, quote follow-up, complaint, price check, delivery enquiry, supplier call) with a confidence score. Low-confidence labels are flagged for review, and you can see intent trends by date range, such as whether complaints are rising.

Summaries on the customer record

The post-call summary and intent are attached to the matching customer record automatically, so the next person to speak to that customer starts with context. Coming soon with the IBIOS phone system: the record will also pop on screen before an inbound call is answered.

Resilient UK-English transcription

Transcription runs through more than one speech engine in turn: if one fails or returns low confidence, the next takes over automatically. Engines are tuned for UK English and regional accents, with a custom vocabulary for trade and brand names, and low-confidence transcripts are flagged.

Searchable calls with Ask IBIOS

Transcripts are stored and searchable, so staff can ask in plain English, for example “which customers called about delivery delays this week?”, and get the matching calls back.

Questions about AI call intelligence

What does call intelligence analyse?

After every call, IBIOS analyses the full transcript and extracts: purchase intent score (0.0 to 1.0), hot lead flag (true/false based on intent threshold), urgency level (low, medium, high), competitor mentions (any competitor named during the call), specific follow-up actions (callbacks promised, quotes requested, information to send), and churn risk indicators (frustration, unresolved complaints, cancellation language). All results are written to the customer’s signal record in IBIOS.

How accurate is the purchase intent score?

Purchase intent scoring is calibrated on the language patterns typical of UK trade enquiries. High-intent signals include specific product requests, date mentions, budget confirmation, and questions about payment. Low-intent signals include vague browsing, price sensitivity without commitment language, and competitor comparison questions. Accuracy improves over time as your IBIOS configuration is tuned to your specific customer base and call patterns.

How quickly are results available after a call?

The post-call analysis pipeline runs automatically once the recording has been transcribed. Purchase intent scores, hot lead flags, and follow-up actions are then written to the IBIOS customer profile as soon as the analysis completes. There is no overnight batch.

Where can I see call intelligence data?

Call intelligence results appear in three places: on the individual call record (full detail including raw scores and all extracted fields), on the customer profile signal strip (most recent intent score and rolling trend), and in the AI morning briefing (hot leads section lists yesterday’s high-intent callers with their scores and follow-up actions). You can also filter the customer list by intent score range to identify all high-priority prospects.

What is a hot lead flag?

The hot lead flag is a boolean derived from the purchase intent score. When a call produces a purchase intent score above your configured threshold, the call is flagged as a hot lead and the customer is surfaced in the morning briefing hot leads section. The hot lead flag is reset each day — it reflects whether the most recent call showed high intent, not a historical average.

Does call intelligence work for inbound and outbound calls?

Yes. Call intelligence analyses any call with a usable transcript, regardless of direction. Inbound enquiries, outbound follow-up calls, outbound quote reviews, and re-engagement calls all generate intent scores and follow-up actions. The direction of the call is recorded alongside the analysis so you can filter by call type when reviewing intelligence data.

What happens with competitor mentions?

When the AI detects a competitor name mentioned during a call, it flags the competitor in the call intelligence record. These flags are aggregated in the pipeline analytics dashboard so you can see which competitors are most frequently mentioned across your calls, in which context (price comparison, alternative quote, customer already bought elsewhere), and at which pipeline stage. This gives you objective market intelligence without surveying customers directly.

Do I need the AI Receptionist for call intelligence to work?

No. The AI Receptionist is coming soon, but call intelligence works today on the recordings your existing phone provider (GoHighLevel) already makes. Each analysed call gets a transcript, a summary, an intent label and suggested follow-up actions, attached to the customer record.

Will it change a quote or job status on its own after a call?

No. IBIOS logs the call and attaches the summary, but moving a quote stage or updating a job requires a deliberate staff action. The AI flags the likely next step; a person confirms it. This stops a casual or exploratory call from changing your records by accident.

Can I add my own call intent categories?

Yes. Administrators can add custom intent categories that match how your business thinks about calls (for example, a showroom visit enquiry or a warranty query) alongside the standard ones.

Which IBIOS product line includes AI call intelligence?

AI call intelligence is part of the IBIOS Call Intelligence product line. It is built for UK tradespeople and plumbers. See also: automatic call summaries.
