Every word, every call automatically transcribed.
IBIOS transcribes the call recordings from your existing phone provider (GoHighLevel) automatically, using a UK English-optimised speech engine with smart formatting. Postcodes, product names, and regional accents handled correctly. Search any stored conversation by keyword.
Multi-engine redundancy. Confidence scoring per transcript. Every recording your phone provider makes is transcribed.
“I was definitely quoted that price.”
A customer comes in for their fitting appointment and says a delivery date was promised on the phone two weeks ago. Your team member who took the call is off today. Notes say “confirmed delivery,” but there’s no detail.
Without a transcript, you are choosing between the customer’s memory and your team’s notes. Either way, someone is going to feel hard done by.
With IBIOS transcription, you search the call log, find the conversation, and read the exact exchange. The transcript is the neutral record. No dispute, no guesswork.
Built for UK business calls
Generic transcription engines struggle with trade terminology, regional accents, and UK formatting. IBIOS is configured for the calls your business actually receives.
UK English smart formatting
Postcodes, phone numbers, currency amounts, and bathroom trade product names are formatted correctly in the transcript — not left as phonetic strings. BT postcodes, measurements in millimetres, and brand names like Carron and Scudo are handled natively.
Multi-engine transcription resilience
Primary engine → secondary engine → final fallback. Each transcript stores which engine produced it and the confidence score. Your call log never goes dark because one provider has a momentary issue.
Confidence scoring per model
Every transcript carries a numeric confidence score tied to the model that produced it. Staff can filter the call log by confidence level, making it easy to spot calls that may need a human to verify the transcript before acting on it.
What does a call transcript look like in IBIOS?
Every call record in IBIOS shows the transcript alongside the call summary, intent classification, and customer timeline. Everything in one place.
Smart formatting in action
Spoken: “the carron eminence seventeen hundred in white needs to go to bee tee thirty nine oh pee ee by thursday”
Transcript: “The Carron Eminence 1700 in white needs to go to BT39 0PE by Thursday.”
Searchable by keyword
Type “Eminence 1700” in the call log search. Every call where that product was mentioned appears, with the matching phrase highlighted in context. No listening required.
Who benefits from searchable call transcripts?
Any team where what was said on the phone matters later.
Showroom managers reviewing sales calls
Read exactly what was said about a product, a price, or a delivery promise — without listening to a recording. Reading a transcript is quicker than replaying the whole call.
Teams handling disputes or complaints
When a customer claims they were told something different, search the transcript for the exact exchange. Timestamped, searchable, and kept in line with your retention policy.
Businesses training new staff
Use real call transcripts to show new sales staff how enquiries are handled and what product questions come up most often. Searchable by topic.
Operations teams tracking call volume
Transcripts feed into IBIOS call analytics. Know what topics are coming up most often across all calls without listening to each one manually.

Questions about call transcription
How does call transcription work?
IBIOS fetches the call recordings your existing phone provider (GoHighLevel) already makes and transcribes them automatically after each call. (Live in-call transcription through the IBIOS AI Receptionist is coming soon.) The primary speech engine is configured for UK English with smart formatting enabled. If the primary engine is unavailable, the system falls back through a secondary engine, then a final fallback. The transcript is stored against the call record in IBIOS with a confidence score indicating which engine produced it.
How accurate is the transcription?
The UK English-configured primary engine with smart formatting delivers strong accuracy on typical trade calls. Accuracy is highest for clearly spoken product names, postcodes, and standard vocabulary. Transcription accuracy is tracked per session and each transcript stores its confidence score, giving your team visibility of lower-confidence records.
Does it handle Northern Ireland and Scottish accents?
Yes. The primary engine with UK English configuration is trained across British and Irish regional accents including Northern Irish and Scottish English. Smart formatting is additionally configured for UK-specific patterns: BT and other Northern Irish postcodes, UK phone number formats, and British trade terminology such as bathroom product names. Performance is strongest in normal speaking conditions.
How long does transcription take?
Transcription starts automatically once the recording is available, and longer calls take longer to process. The IBIOS call panel shows a “transcription in progress” indicator and updates automatically when the transcript is ready. Staff do not need to refresh the page.
How long are transcripts stored?
Transcripts are kept in line with your retention policy, and while they are stored any transcript is searchable from the call log. If you need to keep particular transcripts for compliance or dispute purposes, your IBIOS administrator can adjust the retention policy or export specific transcripts.
Can I search transcripts?
Yes. The IBIOS call log includes full-text search across all stored transcripts. Search by customer name, product name, postcode, or any spoken keyword. Results show the relevant call with the matching phrase highlighted in context. This makes it straightforward to find what a customer said about a specific product or booking weeks after the call.
Which IBIOS product line includes call transcription?
Call transcription is part of the IBIOS Call Intelligence product line. It is built for plumbers and heating engineers. See also: reviewing a disputed call transcript.
