AI Control

Some questions need a set answer.

Coming soon with the IBIOS AI Receptionist: for pricing policy, legal disclaimers and warranty terms, you will configure the exact response once and IBIOS is designed to deliver it word for word, without AI improvisation.

Trigger-phrase matching. Override takes priority over AI generation. What you write is what the caller hears.

The problem with AI improvisation on sensitive topics

A caller asks whether your installation work is covered under the Consumer Rights Act. Your AI, trying to be helpful, gives a broadly accurate but slightly wrong answer about the remediation period. The caller quotes that answer back to you two weeks later in a dispute.

AI assistants are trained to give helpful answers. On most topics, that’s fine. On legal, pricing, and policy topics, a helpful-but-imprecise answer is a liability. The solution is not to make the AI smarter on these topics — it is to take these topics out of the AI’s hands entirely.

Response overrides are designed to do that. You write the answer. IBIOS aims to deliver it word for word whenever a trigger phrase matches. The AI does not write the wording of that response.

How do AI response overrides work?

Deterministic answers for topics where AI improvisation is not acceptable.

01

Set answers, word for word

Overrides are not suggestions or templates: they are exact responses. The AI is designed to deliver the configured text word for word, without paraphrasing or adding context. What you write is what the caller is meant to hear.

02

Override takes priority over AI generation

The trigger-matching step runs before any AI generation. When a match is found, AI generation for that query is bypassed entirely. There is no risk of the AI overriding your override with a more “helpful” answer.

03

Multi-phrase trigger support

Configure several trigger phrases for a single override to catch natural variation in how callers ask the same question. One configured response can cover “what does fitting cost,” “how much for installation,” and “what’s your labour charge” without duplication.

Override examples for a trade business

These are the kinds of topics where an exact configured answer protects your business and gives callers a consistent, professional response.

Pricing policy override

“We provide all pricing through a personalised written quote. I can arrange for a member of our team to call you back with a full breakdown — would that work for you?”

Guarantee terms override

“Our installation work carries our own workmanship guarantee. Product warranties are provided directly by the manufacturer and vary by product. I can send you full details by email — shall I do that now?”

Which topics need a set answer?

Any area where a wrong or imprecise AI answer creates a business, legal, or reputational risk.

Legal and compliance queries

Questions about guarantees, liability, or consumer rights need precise language. An AI improvisation on a legal point is a risk. An override is designed so the words you approved are the ones used.

Pricing policy

If your policy is quote-only, never telephone pricing, an override is designed to make the AI apply that policy consistently, so callers are not given a ballpark figure the business hasn’t authorised.

Brand-sensitive messaging

Promotions, warranty terms, and service commitments need to be communicated consistently. Overrides let you control the exact language your AI uses for key brand messages.

Sensitive complaints and escalations

When a caller raises a topic that requires a specific escalation path — a complaint about a named employee, a dispute in progress — an override routes the call correctly rather than leaving the AI to improvise.

Technical specifications

Override storage

Trigger–response pairs stored in the IBIOS knowledge base, indexed for fast lookup before any AI generation step.

Matching priority

Override check runs before AI generation. On match, AI generation is bypassed for that query. No risk of AI overriding configured responses.

Response delivery

Configured text delivered verbatim via the TTS layer. No paraphrasing, no elaboration, no AI variation.

Trigger flexibility

Each override supports multiple trigger phrases. Phrase matching handles natural language variation without requiring exact wording from the caller.

Override volume

No practical limit on the number of overrides. Performance is not affected by override count — matching is pre-generation.

Admin interface

Overrides are created, edited, and tested in the IBIOS admin knowledge base panel. Changes take effect immediately without a system restart.

Questions about response overrides

What is a response override?

A response override is a trigger-phrase and response-text pair configured in the IBIOS knowledge base. When a caller asks anything that matches the trigger phrase, the AI is designed to deliver the configured response word for word, without paraphrasing, elaborating or improvising. The override takes priority over any AI-generated answer.

When should I use overrides vs the knowledge base?

Use the knowledge base for general information where the AI can respond helpfully with some variation. Use overrides when the exact wording matters: pricing policy statements, legal disclaimers, warranty terms, regulatory language, or any topic where an AI paraphrase could create a misleading or incorrect impression. If you would brief a human member of staff to say it a specific way, use an override.

How many overrides can I configure?

There is no practical limit on the number of overrides. Overrides are stored in the knowledge base and indexed for fast lookup. Performance is not affected by override volume — the matching engine checks overrides before any AI generation begins, so there is no latency cost to having a large set.

How specific do trigger phrases need to be?

Trigger phrases can be as broad or as narrow as you need. A broad trigger like “installation cost” will catch a wide range of related questions. A narrow trigger like “do you offer a price-match guarantee” targets a specific query. You can configure multiple trigger phrases for a single response to cover natural phrasing variation.

What happens if no override matches?

If the caller’s query does not match any configured override, the AI proceeds with a normal knowledge-base-grounded response. Overrides only activate on a match — they do not suppress AI responses for unmatched queries. Your general question-answering capability is not affected by the presence of overrides.

Can overrides be used for pricing questions?

Yes, and this is one of the most valuable uses. If a caller asks about pricing and your policy is to quote only via formal estimate, you can configure an override that delivers exactly that message: “We provide all pricing through a personalised quote — can I arrange a callback with one of our team?” The set answer is designed to be given without variation.
