AI at the Core

Anti-hallucination AI that knows your business.

IBIOS AI answers from your own records, not from guesswork. Ask IBIOS answers typed questions about your business with the sources shown, says “I can’t see that” instead of guessing, and learns facts your team confirms. That is live today.

IBIOS AI does not work from scripts or static training data. Coming soon: when a caller asks the AI Receptionist whether their delivery has arrived, the AI will query your actual supplier order record before answering. The response will be drawn from your live system — not a prepared answer that may no longer be correct.

IBIOS is AI business software for UK trade and retail businesses, made by IBIOS Limited (NI743167), Northern Ireland. Its AI reads quotes, call recordings and your live records today; AI call answering is coming soon.

UK production hosting. Answers come from your business data, with sources you can open and check.

How does IBIOS AI answer from live business data?

Most AI phone systems work from a configured knowledge base: a set of questions and answers prepared in advance. This works for static information — opening hours, address, general service descriptions. It breaks down the moment a caller asks something specific: “Has my shower tray come in yet?” or “What time is my survey on Thursday?”

IBIOS AI is connected directly to your live platform data. Coming soon: the AI Receptionist will have read access to job records, supplier orders, product inventory, and appointment schedules. When a caller asks a specific question, the AI will query the relevant record in real time before responding. The answer will be as accurate as your data.

This is not a feature that requires special configuration or an add-on. It is the foundation of how the IBIOS AI works. An AI that cannot access your data is an answering service. An AI that queries your data is a receptionist.

Coming soon: what “live data” will mean on the phone

“Has my delivery arrived?”

The AI will query the supplier order record for that customer and read the delivery status.

“What time is my survey?”

The AI will read the survey date and time from the job record linked to that customer.

“Do you have the Carron 1700 bath in stock?”

The AI will check the current inventory quantity for that SKU before answering.

“Can I move my appointment?”

The AI will check available slots in your calendar and offer options in real time.

Which AI tools does IBIOS give a small business today?

Each module addresses a specific operational problem. They can be used independently or together as part of the IBIOS platform.

Live today: Quote Studio reads a supplier PDF or a photo of a handwritten form into quote lines, then matches them to your own products; Call Intelligence builds call reports and call briefings from the recordings your phone provider already makes; and Ask IBIOS answers typed questions over your live records. Coming soon: the AI Receptionist (coming soon), voice Ask IBIOS and AI agents. Why grounding matters: why an AI receptionist must never make things up.

Ask IBIOS

Typed questions answered from your own records

Ask a question about your business and get an answer from your own IBIOS records, with the sources shown. When it cannot see something, it says so instead of guessing, and it learns facts your team confirms.

AI Receptionist (Coming soon)

Coming soon: answering when you cannot

Coming soon: the AI receptionist will answer when you can’t, query live job and inventory data, and take messages for your team.

Quote Studio OCR

Supplier PDF to customer quote

Upload a supplier quote document — PDF, scanned image, or phone photo. AI reads it into quote lines in about 60 seconds, each with a confidence score, then matches them to your own products. Items above your threshold are approved automatically. Anything uncertain is flagged for your review.

Call Intelligence

Transcription and summary of your call recordings

Call recordings from your existing phone provider are transcribed and summarised. Summaries are attached to the relevant job record. Your team can search call content without listening to recordings.

Coming soon: how the AI Receptionist will work — four steps

Coming soon: the AI will respond with information drawn from your live data. The call and its summary will be attached to the relevant job record before the caller hangs up.

AI trust and compliance

Every IBIOS AI feature is built with UK regulatory requirements in mind from the start.

UK hosting

IBIOS production, including transcriptions and AI-processed data, is hosted on UK-based servers. Some AI processing uses sub-processors outside the UK, including US providers, as listed at /legal/subprocessors. UK-only AI processing is coming soon.

Data Processing Terms

Our Data Processing Terms and sub-processor list are published at /legal/dpa and /legal/subprocessors.

Configurable data access

Coming soon: you will control exactly which parts of your IBIOS data the AI Receptionist can access. Cost prices, private notes, and financial data are excluded by default.

Honest fallback

The AI is configured to acknowledge the limits of its knowledge. If it cannot answer accurately, it says so rather than guessing. When the AI Receptionist launches (coming soon), it will route the caller to your team.

Audit trail

Every AI interaction is logged: questions asked, answers given, and any data records queried. Accessible by administrators with audit permissions.

What do people ask about AI in IBIOS?

What is anti-hallucination AI that knows your business?

It is AI that answers from your own records rather than from general knowledge, and admits when it does not know. Ask IBIOS answers typed questions from your IBIOS records with the sources shown, says "I can’t see that" instead of guessing, and learns facts your team confirms. No AI is right every time, so check the source behind any answer you act on.

Does IBIOS have an AI chatbot for your website?

Not yet. An AI chatbot for your website, IBIOS Web Chat, is coming soon. Today IBIOS AI reads supplier documents into quotes and writes call reports from the recordings your phone provider already makes.

Will the AI Receptionist (coming soon) answer from a script?

No. The IBIOS AI Receptionist is coming soon, and it will not work from a fixed script. For each caller question, it will query your live IBIOS data — job records, product inventory, delivery dates, appointment availability — and construct an answer from what it finds. This means it will be able to answer accurately about a specific job, a specific order, or a specific product without a human needing to prepare the response in advance. If the data is not available or the question is outside its scope, it will tell the caller honestly and take a message.

What data will the AI Receptionist access?

When it launches (coming soon), the AI Receptionist will have read access to the parts of your IBIOS data that are relevant to customer enquiries: job status, delivery dates, appointment slots, product availability, and basic customer contact details. It will not have access to cost prices, profit margins, internal notes marked as private, or financial account data. Access boundaries will be configured during setup and can be adjusted by an administrator at any time.

How does IBIOS AI handle UK GDPR?

IBIOS production is hosted on UK-based servers. Some AI processing uses sub-processors outside the UK, including US providers, as listed at /legal/subprocessors; UK-only AI processing is coming soon. A Data Processing Agreement is available to all customers on request.

What will happen if the AI Receptionist cannot answer?

The AI Receptionist is coming soon, and it is being designed to handle this gracefully. If a question falls outside its scope — a complex complaint, a technical question requiring specialist knowledge, or a request the AI is not configured to answer — it will tell the caller it will pass the enquiry to the right person, take their name, number, and a summary of what they need, and send your team an immediate alert.

Will the AI Receptionist replace my staff?

No. When it launches (coming soon), the AI Receptionist will handle the calls that happen when your staff are busy, in with a customer, or outside business hours. It will capture enquiries and answer straightforward questions so your team can focus on the work that needs human attention. Calls it cannot resolve will be routed to your team with a context summary.
