Who is the missed call cost calculator for?
This calculator is for trade business owners who want to quantify the missed call problem before deciding whether to invest in solving it. If you are considering an AI receptionist, a telephone answering service, or additional staffing to cover phone gaps, start here — the calculation tells you whether the investment makes financial sense.
It is also useful for business owners who know the problem exists but have not been able to make the case internally for spending money on it. A concrete annual figure — even a conservative one — makes the conversation easier.
How do you work out your own figure?
Use your own records rather than industry averages. Multiply your average job value by the number of calls you miss in a typical day, then by the share of answered enquiries that turn into a job, then by the number of days you trade in a year. Divide the result by the number of weeks you trade for a weekly figure.
Your actual figures may be higher or lower than the estimate. The calculation also does not include the referral chain effect: jobs lost to competitors that were referred from customers who found them because you missed their call.

Frequently asked questions
How accurate is the missed call cost calculation?
The calculation gives an order-of-magnitude figure, not a precise one. The main variable is conversion rate — the proportion of calls that, had they been answered, would have turned into jobs. Use your own conversion rate from answered enquiries if you track it. The calculation also leaves out the referral chain effect: a customer who went to a competitor because you missed their call may refer further jobs to that competitor.
What counts as a missed call for this calculation?
Any call that rings without being answered by a person or a functioning AI system. This includes calls that go to voicemail (a caller who reaches voicemail may not leave a message, or may ring someone else before you call back), calls that ring out, and calls received out of hours when no one is available. It does not include calls that are deliberately declined or transferred to voicemail by a staff member.
Should I include evening and weekend calls in my estimate?
Yes, if your business receives enquiries outside office hours. Homeowners often plan a renovation in the evening, after they have finished work, so a showroom that closes at the end of the working day can miss those calls. Check your phone provider’s call log for calls outside opening hours and include them in your estimate.
What is the ROI of solving the missed call problem?
The ROI depends on what you spend to fix it and how many of those calls the fix would actually recover. Compare the annual figure from the calculation with the written price of each option you are considering, such as extra staff, a telephone answering service or an AI receptionist, and only count the share of missed calls that option would realistically answer.
