Customer pushes for a discount. IBIOS routes it through the approval workflow.
When a customer calls to negotiate on a quote, the window to win the job closes fast. “I’ll ask my manager” and an overnight wait is enough time for them to accept a competitor’s quote. IBIOS captures the request, triggers the approval workflow, and gets the decision back to the customer as soon as it is made.
Why do slow discount decisions lose trade jobs?
Customer received a quote for a bathroom refit. Rings to discuss. Wants a sizeable discount. Staff member is sympathetic but does not have the authority to approve a discount at that level. Says: “I’ll need to ask my manager and come back to you.” Manager is on a job all day. Returns the call the following morning.
By the following morning, the customer has had time to ring other businesses. One of them gave an answer on the spot. The customer accepted that quote last night. Your call back arrives to find the job already gone.
The margin given up on a discount can be less than the revenue lost when the job goes elsewhere. But the real problem is not the discount decision itself — it is the delay. A structured approval workflow that gets a response back quickly gives you a better chance than a policy of “we’ll come back to you.”
How does a discount approval workflow work in IBIOS?
A step-by-step walkthrough of the discount approval workflow from first request to updated quote.
Customer requests a discount
Customer on a large bathroom quote pushes for a sizeable discount. Staff member does not have the authority to approve. Instead of guessing or stalling, the request is logged (on calls, the AI Receptionist will take it once it launches — coming soon).
Request logged against the quote
The discount request is logged against the quote reference with the amount requested. Current margin at full price vs margin at requested discount both calculated and attached to the request.
Manager receives the approval alert
Manager receives an IBIOS notification with the quote detail, the margin impact, and a one-click approve, counter-offer, or decline action. No need to open the quote separately.
Revised quote sent
Manager approves (or makes a counter-offer). IBIOS emails the customer an updated quote link with the revised price and an acceptance button.
Job won before customer cools
Customer receives the updated quote while they are still actively deciding. The speed of response is itself a signal of professionalism.
What is the outcome?
Routed
discount request sent straight to the right approver, not left waiting for a call back
Margin
reviewed before approval, not after the conversation has ended
Won
job secured before the customer had time to cool or look elsewhere
The approval workflow does not just speed up the process — it makes the decision a better one. The manager approving the discount can see the exact margin impact before they decide. They are not approving blind. The counter-offer option means they can negotiate rather than simply say yes or no.
Questions about the discount approval workflow
How does the AI handle a caller asking for a discount it cannot immediately authorise?
AI call handling is coming soon. Once the AI Receptionist launches, it will acknowledge the request calmly: “I’ve noted your request for a revised price and I’ll have someone review the quote and come back to you today.” It will not attempt to approve or decline. It will not invent a number. It will log the request against the quote reference with the discount amount requested, then trigger the approval notification to the relevant manager.
What information does the discount approval request include?
The approval notification includes: the quote reference number, the customer name, the current quote total, the discount percentage or amount requested, the resulting margin at the requested discount, and the margin at full price. This gives the approver everything they need to make a decision without having to open the quote separately.
Who receives the approval notification?
The notification goes to whoever holds the discount approval permission for that price tier. IBIOS supports tiered approval: for example, small discounts may auto-approve within defined rules, larger ones require manager sign-off, and the largest require owner sign-off. You configure the tiers and assignees when you set up the discount approval workflow.
Can I set different discount approval tiers by amount?
Yes. The discount approval workflow supports several tiers with separate approvers for each. Tier thresholds are set as an amount or a percentage, so a small discount can auto-approve while a larger one goes to a manager or the owner. Each tier can have a different response SLA target — the system tracks whether responses arrive within the target and escalates if they do not.
Does IBIOS track discount approval rates over time?
Yes. The quote analytics section shows: total discount requests by period, approval rate, average discount approved, discount requests that led to a won job, and discount requests that the customer did not pursue. Over time this tells you whether discounting is actually winning jobs or simply reducing margin on deals that would have converted at full price.
