Coming soon — Use Case

Installer needs job details. Customer on the other line. IBIOS will bridge both.

The IBIOS Receptionist is coming soon and is not live yet — this scenario shows how it will work. Your staff cannot be in two calls at once. When an installer rings for site details at the same moment a customer is on the line, one of them gets left waiting. IBIOS will answer the installer call, read back the address and access code from the live job record, and log the conversation — without interrupting your staff member.

What happens when an installer can’t get through to the office?

Early morning. Installer Brian is in his van heading to his first job of the day. He needs the site access code and isn’t sure of the exact entrance. He calls the showroom. The only staff member on shift is in the middle of a call with a customer who wants to change a tile order.

Brian waits, then rings off. He tries to find the address on his phone but the job details are in an old WhatsApp message from weeks ago. He drives to the wrong entrance. He rings the customer. The customer is frustrated that the installer is late.

This is not a process failure. It is a capacity problem. One staff member cannot handle two concurrent calls. The installer call has no lesser priority than the customer call — it affects a live installation. Both need answering. Only one gets answered.

How will the AI receptionist give installers job details (coming soon)?

A step-by-step walkthrough of the installer call handled without interrupting staff.

01

Installer calls en route to site

Brian is driving to his first installation. He needs the site access code. He rings the showroom. The only staff member is mid-call with a customer changing their order. Without IBIOS, Brian waits, rings off, and tries to find the address from memory.

02

AI answers and recognises Brian immediately

The IBIOS Receptionist (coming soon) will pick up. Brian’s number matches his installer record in IBIOS. The AI will greet him by name and ask what he needs for today’s job.

03

Job record retrieved and read back

Coming soon: IBIOS will pull Brian’s assigned job for today from the live IBIOS database. It will read back the site address, access notes, and any instructions left on the record. Brian confirms that’s what he needed.

04

Conversation logged against the job

Coming soon: a timestamped note will be added to the job record: installer confirmed site details. The staff member on the other call never needed to be interrupted.

The expected outcome

Answered

job details retrieved and confirmed for the installer on the call

Uninterrupted

staff stay on the concurrent customer call

Live records

field queries answered from the job record, not memory

Once the AI Receptionist launches (coming soon), the installer will arrive at the right entrance and the customer call will finish without interruption. Both interactions will be logged in IBIOS. The staff member will review the morning dashboard and see both conversations complete — neither one a gap in the record.

Questions about installer call handling

Can IBIOS recognise when an installer calls?

Coming soon. Once the AI Receptionist launches, IBIOS will cross-reference the incoming number against your IBIOS contacts. When a number matches a known installer record, the AI will identify them by name, confirm who they are, and pull up the jobs assigned to them for the day without the installer needing to spell out their details.

What job information can IBIOS share with an installer over the phone?

Once the AI Receptionist launches (coming soon), IBIOS will read directly from your live IBIOS job records. It will be able to give the installer the site address, access notes, customer name for the visit, scheduled start time, and any instructions left on the job record. It will not share cost or pricing data with installer-level contacts.

Is there a risk of sharing sensitive customer data with the wrong caller?

Once the AI Receptionist launches (coming soon), IBIOS will match the calling number to a verified contact before sharing any job details. If the number is not recognised, it will not share job information and will instead take a message for a staff member to call back. You will also be able to configure a PIN verification step for added security.

Can IBIOS update job notes if the installer reports a problem on site?

Yes, once the AI Receptionist launches (coming soon). If an installer calls to report a problem — delayed access, missing materials, a changed start time — IBIOS will log the note directly against the job record in IBIOS and flag it for staff review. The note will be visible in the dashboard once the call ends.

What if the installer needs something not in the system?

Once the AI Receptionist launches (coming soon), if the information requested is not on the job record, IBIOS will tell the installer what it can and cannot find, take a detailed message, and create a priority callback request for the relevant staff member. The installer will not be left with nothing — they will get a clear next step and an expected response time.
