Coming soon — Use Case

Friend recommended you. They’re calling to find out more. IBIOS will make the referral count.

A referred caller arrives with the highest trust of any inbound lead. They already believe in you because someone they trust told them to call. A rushed, distracted answer can destroy that trust almost immediately. IBIOS will ensure every referral gets the response it deserves. The IBIOS Receptionist is coming soon and is not live yet — this scenario shows how it will work.

What happens when a referral lands with a distracted team?

Homeowner was told to call you by their neighbour whose bathroom you fitted last year. They ring Thursday afternoon. Staff member is mid-conversation with a showroom customer. The phone is answered but the tone is rushed. “Yeah, hello, Isabella Bathrooms.”

The caller says they were recommended by Sarah from down the road. The staff member doesn’t recognise the name, can’t look it up quickly, and gives a generic response. The warmth of the recommendation — “they’re brilliant, you have to call them” — is immediately at odds with what the caller is experiencing. The expectation and the reality don’t match.

They don’t book. Not because of price or product. Because the experience felt ordinary when they’d been told it would be exceptional. The referral — which cost you nothing in marketing budget — is lost to one short phone call.

How will the AI receptionist handle a referral call (coming soon)?

A step-by-step walkthrough of how IBIOS will capture, tag, and convert a referred enquiry once the AI receptionist launches (coming soon).

01

Referred caller rings Thursday afternoon

Homeowner was told to call by their neighbour — Sarah, whose bathroom was fitted last year. They ring on Thursday afternoon. Staff are busy. The AI Receptionist (coming soon) will answer warmly and professionally.

02

Referral source captured

Caller mentions they were recommended by their neighbour Sarah. The AI will take note of the referral source and ask for the caller’s details — name, phone, what they’re looking for, and their rough budget.

03

New lead record created with referral flag

A CRM record is created tagged “referral — via existing customer Sarah.” The lead is given higher priority in the follow-up queue, reflecting the trust the referral brings.

04

Design consultation booked same day

The AI will offer a free design consultation from your live calendar. Caller books for Thursday afternoon. They’re not left to call back — the consultation is confirmed before the call ends.

05

Thank-you task created for the referrer

IBIOS automatically creates a task on Sarah’s customer record: “Send thank-you following referral.” The owner sees it in the morning briefing. The referring customer feels appreciated. The referral cycle continues.

The expected outcome

referral lead logged with source tracked in CRM from the first call

Same day

Thank-you

task created automatically on the referring customer’s record

Referred leads often arrive pre-sold. IBIOS will ensure every referral is handled with the care it warrants, tracked so you can thank the referrer, and converted before the trust they brought with them fades.

Questions about referral lead handling

Does IBIOS track how customers found out about the business?

Yes. Lead records carry a source field today; once the AI Receptionist launches (coming soon), when the AI creates a new lead record it will capture the source as stated by the caller — referral by name, Google search, showroom sign, van sighting, or other channel. This source field is visible on the lead record and included in reporting. Over time, you build a clear picture of which channels and which existing customers generate the most inbound enquiries.

Can I set up a referral reward programme within IBIOS?

IBIOS records the referring customer on every referred lead. You can use this to run a manual referral reward scheme — for example, a thank-you voucher issued to any customer who generates a completed job. The link between the referrer and the new customer is stored in the CRM so you can track it at any point.

How does a referral call show up differently in the CRM?

Referral leads are tagged with source type “referral” and, where the caller named them, the referring customer’s name. In your IBIOS dashboard, referral leads appear in a filtered view alongside their source. This makes it easy to see the referral pipeline at a glance and prioritise follow-up on high-trust inbound enquiries.

Can IBIOS automatically log a thank-you task to the referring customer?

Yes. When a lead is created with referral source, IBIOS can automatically create a follow-up task on the referring customer’s record — for example, “Send thank-you message to Sarah following referral of new lead.” The task appears in your daily dashboard and is assigned to the appropriate staff member.

Is there a way to report on which customers generate the most referrals?

Yes. The referral source report in IBIOS shows a ranked list of customers by the number of referrals they have generated, the number of those that converted to booked jobs, and the total revenue attributable to their referrals. This identifies your highest-value advocates so you can invest in those relationships deliberately.

Every referral deserves the response that earned it.
