Phone rings — customer record opens before staff say hello.
The moment an inbound call connects, IBIOS will identify the caller and put their full record on screen — name, open quotes, last order, outstanding balance. Staff will start each call with full context. No asking for names. No searching mid-conversation. Screen pop from IBIOS telephony is coming soon and is not live yet — this scenario shows how it will work.
What happens when the showroom phone rings and nobody knows who is calling?
It's a busy Monday morning. Staff are already with customers in the showroom. The phone rings. Whoever answers has no idea who is calling. They pick up, say “good morning,” and immediately ask for a name. The customer gives it. Staff type it into the system. Results come back. Wrong spelling — try again. Meanwhile, the customer is waiting, the conversation has stalled, and the caller already feels like a number, not a loyal customer who has spent good money with you before.
This sequence plays out again and again in a busy showroom. It is entirely avoidable. The caller's number is available the moment the call connects. The CRM record is already there. The only missing piece is the link between them — and IBIOS will provide it.
The change is not dramatic. Staff don't need training. The process doesn't change. The customer just hears “Good morning Mrs Carroll, how can I help?” instead of “Can I take your name?” — and the entire tone of the call is different from the first word.
How will IBIOS screen pop work from ring to record (coming soon)?
A step-by-step walkthrough of exactly what IBIOS will do the moment an inbound call arrives.
Call arrives during the morning rush
The showroom phone rings while staff are busy. In the background, IBIOS will receive the caller ID from the phone provider the moment the call connects (coming soon).
Number matched against the CRM
IBIOS will query the CRM against the inbound number. If a match is found, the customer’s full record will be retrieved — name, open quotes, last order, and outstanding balance — instantly.
Record displayed on screen
The staff member’s screen will show the customer panel before they say a word. They know who is calling, what jobs are open, and whether there is a balance to discuss before the conversation starts.
Call handled with full context
No “can I take your name?” No digging through the system while the customer waits. The conversation starts from context, not from scratch.
Call logged automatically
When the call ends, IBIOS will log the inbound call against the customer record with timestamp and duration. If a note was added during the call, it attaches to the record in the audit trail.
What will change for the business
Less time spent asking for names and searching the system means more staff time returned to the business. That is time spent serving customers in the showroom rather than typing names into a search box on the phone. And for the customer, the experience shifts from transactional to personal without any extra effort from your team.
Questions about screen pop and caller recognition
What happens if the caller’s number isn’t in the system?
If the number has no match, the screen pop (coming soon) will display a blank new-customer form with the inbound number pre-filled. Staff will be able to complete the record during the call without switching screens. The call will still be logged against that number so the record is searchable later.
Can the screen pop show the customer’s open quotes and jobs at the same time?
Yes, once screen pop launches (coming soon). The pop will show a summary panel with the customer’s name, contact details, outstanding balance, the most recent quotes with their status, and any jobs currently in progress. Staff will be able to expand any item with a single click while still on the call.
Does screen pop work on mobile if staff are away from their desk?
IBIOS is a browser-based system accessible from any device. Once screen pop and call routing launch (coming soon), if the call is routed to a mobile handset, staff will be able to open the IBIOS app on their phone and the screen pop will load the same record, with the notification pushed in real time when the call connects.
Can screen pop be triggered from a withheld number?
Withheld numbers cannot be matched to a customer record, so no screen pop (coming soon) will be generated. The call will still be answered and logged as an unknown inbound. If the caller identifies themselves during the call, staff can search and link the record manually.
How does IBIOS handle calls from numbers registered to multiple people?
If a number matches more than one customer record — for example a shared business line — the screen pop (coming soon) will show a short disambiguation list so staff can select the correct record in one click. This is uncommon but handled cleanly without breaking the call flow.
