Coming soon — Use Case

Customer asks about VAT relief for a disability bathroom. IBIOS will give the right answer.

The IBIOS Receptionist is coming soon and is not live yet — this scenario shows how it will work. Customers adapting a bathroom for a disability can qualify for zero-rate VAT under HMRC Notice 701/7. A clear, confident answer wins the job. A vague answer loses it. IBIOS will query the VAT knowledge base, answer accurately during the call, and handle the declaration paperwork.

How can uncertainty about VAT relief cost you an accessible bathroom job?

Customer rings about converting their bathroom to an accessible wet room. Their spouse has a disability and they’ve been told they might qualify for zero-rate VAT. They ask directly: “Do we qualify for VAT relief?” Staff member is not certain. Says: “I think you might, I’d need to check with someone and come back to you.”

Customer is already comparing multiple businesses. The business that gives them a clear, informed answer about VAT relief signals competence and experience with disability adaptations. The one that hesitates signals the opposite. The customer books with the business that knew the answer.

VAT relief on disability adaptations is not obscure legislation — it is a standard question for anyone in bathroom retail serving homeowners. The correct answer should be available on the call without needing to escalate or call back.

The VAT relief answer is not just a compliance matter — it is a sales signal. A customer asking about VAT relief is already planning to proceed. A business that handles the question fluently, generates the declaration automatically, and invoices correctly has eliminated a source of friction that would otherwise introduce delay and doubt.

Questions about VAT relief for disability adaptations

What VAT relief applies to disabled bathroom installations?

Disability adaptations can qualify for zero-rate VAT under HMRC Notice 701/7. This applies to the installation of goods for a person with a chronic illness or disability where the goods are designed or adapted solely for use by a person with a disability. Qualifying works include wet room conversions, walk-in shower installations, accessible bath installations, grab rails, and raised toilet seats. The zero-rating applies to both the goods and the labour if the installation is the qualifying supply.

How will IBIOS ensure the AI’s VAT answers are accurate and current?

Coming soon. VAT guidance will be stored in the IBIOS knowledge base as a structured document, updated whenever HMRC issues revised guidance. The AI Receptionist will answer VAT questions by querying the knowledge base directly — it will not generate VAT answers from general training data. If the guidance document has not been reviewed recently, the AI will flag that the answer should be verified against current HMRC guidance before relying on it.

What documentation does a customer need to provide to claim VAT relief?

The customer needs to sign a VAT relief declaration confirming that the goods and services are for their personal use and that they have a chronic illness or physical or mental disability. The declaration does not require a medical certificate or GP letter — it is a self-declaration. IBIOS will send the declaration form with the quote for the customer to sign; digital signing of the declaration form is coming soon.

Can IBIOS handle the VAT relief paperwork process?

Partly today. IBIOS lets you mark the qualifying quote lines with the disability VAT relief code. Signing the VAT relief declaration within the contract: coming soon. Invoicing with the zero-rated lines is also coming soon. Keep the signed declaration in case of an HMRC inspection.

Does VAT relief apply to the full installation or only specific elements?

Zero-rating applies only to the elements of the installation that directly relate to the disability adaptation. General bathroom renovation work carried out at the same time does not qualify. IBIOS can split a quote into qualifying and non-qualifying line items so the zero-rated portion is applied correctly. This is important for both accuracy and compliance — applying zero-rating to non-qualifying work is an error that can result in a VAT assessment.
