The only AI Receptionist that knows your business from the inside.
Coming soon. Everything on this page describes the planned IBIOS AI Receptionist, which is not yet available. Every other AI phone system pushes call data into your CRM after the call ends. IBIOS AI Receptionist calls will be inside your ERP. Live stock. Open quotes. Delivery dates. Job records. All available to your AI Receptionist during the call — in real time, with no sync, no middleware, and no lag. IBIOS is made by IBIOS Limited (NI743167) in Northern Ireland.
Founding prices for waiting-list members. Early access by waiting list.
The structural advantage · Coming soon
Coming soon: they push call data into your CRM. IBIOS AI Receptionist calls will be inside your ERP.
Standalone AI receptionists and horizontal phone platforms all follow the same architecture: they answer the call, then push a summary to your CRM via a webhook or sync. That means there is always a gap between the call ending and your records being updated. There is always a dependency on the sync working correctly. And the AI can only answer questions from a static knowledge base you manually populated at setup.
IBIOS is different at the architectural level. When it launches, your phone system will not be a satellite tool bolted onto your ERP. It will be a module inside it. When a caller asks about stock, the AI queries your live IBIOS inventory — the same database your team updates throughout the day. When a caller asks about their order, the AI reads the supplier order record. When the call ends, the transcript and summary are filed directly under the Customer and Job record. Nothing moves between systems. Nothing syncs. Nothing lags.
Generic answering services relay messages. Standalone AI receptionists answer from a knowledge base. IBIOS AI answers from your live operational data — because it has access to it during the call.
What “ERP-native” will mean in practice (coming soon)
✓Caller asks about stock
IBIOS checks your live inventory mid-call. Not a cached answer. Not a guess. The current stock count, pulled in real time.
✓Caller chases a delivery
IBIOS reads the supplier order record directly. Dispatched date, expected delivery, order reference — accurate as of this moment.
✓Caller wants to book a survey
IBIOS reads your live calendar and books the slot during the call. No booking link sent separately. No follow-up required.
✓Call ends
Transcript, recording, and one-line summary are filed against the Customer and Job record instantly. No webhook. No sync job. Already there.
✓Multi-model AI fallback
Multi-provider AI with automatic failover — designed to keep your receptionist running even during provider outages.
Core capabilities · Coming soon
Coming soon: what the AI Receptionist will do on every call.
Not a voicemail. Not a message relay. Not a static FAQ bot. A live AI that has access to your actual business data and acts on it during the call.
Answers when you can’t (coming soon)
Coming soon: your AI Receptionist will answer the calls your team cannot get to, whether they are busy, on site, or closed, and take the details so nobody has to ring round later.
Gets smarter with every interaction
IBIOS learns from every call, message, and customer exchange. The more it handles your specific scenarios, the sharper it becomes at them, with no manual retraining or configuration updates required from your team.
Asks rather than guesses
When a caller’s request is ambiguous — a name that matches multiple customer records, a product description that could mean several things — the AI asks a clarifying question before acting. Staff are never called to clean up a wrong-path response.
Checks live stock, quotes, and orders
When a caller asks whether a particular bath or shower tray is in stock, the AI queries your live IBIOS inventory and answers accurately. It can also check open quote status, supplier order delivery dates, and job records for returning customers.
Books appointments into your calendar
Survey appointments, showroom visits, and design consultations can be booked mid-call from your live IBIOS calendar. The appointment is confirmed, the customer record is updated, and a confirmation is sent to the caller — all before they hang up.
Logs calls to Customer and Job records
Every call — handled by AI or transferred to your team — is recorded, transcribed, and filed against the relevant Customer and Job record in IBIOS. No manual logging. No missed details. No separate system to check.
Sends a one-line summary
When the call ends, you receive a text and email: “Jane Smith 07700 900 123 — wants a walk-in shower, interested in Carron Elite bath, survey available Tuesday.” Plain English. Actionable. Immediate.
Protects against social engineering (coming soon)
Tier 4 social engineering attacks — callers attempting to change bank details, extract staff credentials, or manipulate your records — are architecturally blocked. The AI cannot perform these actions regardless of how the request is framed.
AI intelligence features
The AI intelligence behind every call.
IBIOS does not just answer calls. It analyses them, learns from them, and gives your team the intelligence to act faster. Transcription, summaries, sentiment and call briefings work today on recordings from your existing phone provider; coaching insights are coming soon. Features marked “Coming soon” arrive with the AI Receptionist.

AI Screen Pop
Coming soon: pulls up the caller’s IBIOS customer record before your team answers the transfer. Name, job history, open quotes, last contact — all visible instantly.
Missed Call Urgency Scoring
Coming soon: when a call is missed, the AI will score it by urgency based on call content, caller history, and sentiment. Your team knows which callbacks matter most.
Call Queue Overflow
Coming soon: handles inbound overflow so callers are not sent to voicemail during busy periods. Queue management with estimated wait times and priority routing.
Platform
Morning Briefing
Each morning, IBIOS delivers an AI-generated briefing: calls from yesterday, open quotes awaiting follow-up, deliveries expected today.
Natural Voice Synthesis
Coming soon: callers speak to a natural, professional voice that sounds like a knowledgeable member of your team — not a robot reading from a script.
Multi-Model Speech Recognition
Multi-provider failover speech recognition. If one provider has an outage, IBIOS switches automatically.
Real scenarios · Coming soon
Coming soon: what will happen when the AI receptionist answers a call?
Four situations your business faces every week. What happens without IBIOS. What happens with it.
You’re in the showroom with a customer
Without IBIOS
Your phone rings. You’re mid-consultation. You let it ring out. The caller hears voicemail, decides not to leave a message, and calls the next showroom they find online. You never know they called.
With IBIOS AI Receptionist (coming soon)
Coming soon: IBIOS AI Receptionist answers. It checks your calendar and offers the caller a survey slot later in the week. The caller books. A new job record appears in IBIOS before you’ve finished your current conversation. You get a one-line summary: “Mark Duffy 07700 900 456 — walk-in shower enquiry, survey booked Thursday morning.”
It’s 6pm on a Friday
Without IBIOS
Calls after closing go to voicemail. The caller is standing in their bathroom looking at a leak and wants to know if you have a 900mm shower tray in stock. They leave no message. By Monday they have already ordered from someone else.
With IBIOS AI Receptionist (coming soon)
IBIOS answers. The caller asks about the 900mm shower tray. The AI checks your live inventory: in stock, available for collection Monday or delivery Tuesday. The caller chooses Monday. IBIOS captures their details and sends you a summary: “Sarah Convery 07700 900 789 — 900mm shower tray, in stock, collecting Monday.” You arrive Monday to a sale already waiting.
A customer calls to chase their delivery
Without IBIOS
The call comes in while you’re with a supplier rep. You miss it. They call back later. You have to find the job number, log into the supplier portal, check the status, then call the customer back. A long interruption for a short answer.
With IBIOS AI Receptionist (coming soon)
IBIOS answers. The caller gives their name. The AI recognises them from the customer record, pulls up their open job, and checks the supplier order: tiles dispatched Tuesday, estimated delivery Thursday. The AI tells the caller. Call handled. Record updated. You are not interrupted. The caller has their answer on the first call.
A new lead calls while you’re on site
Without IBIOS
You’re fitting a bathroom in Ballyclare. Your phone buzzes — unknown number. You can’t answer. The caller leaves no message. That’s a potential full bathroom suite sold to a competitor.
With IBIOS AI Receptionist (coming soon)
IBIOS answers. The caller is planning a full bathroom renovation and wants to book a design appointment. The AI offers available slots and books the one they choose. You finish the fit. There’s a confirmed design appointment in your calendar and a summary waiting: “Tom McAllister 07700 900 321 — full bathroom renovation, design appointment Friday afternoon.”
How it compares
Coming soon: how will the IBIOS AI Receptionist differ from a standalone AI receptionist?
Standalone AI receptionists know your opening hours. IBIOS knows your live stock, open quotes, and delivery dates. That is a category difference, not a feature difference.
| Feature | Generic AI Receptionist | IBIOS (coming soon) |
|---|---|---|
| Knows your live stock levels | No — answers from a static knowledge base | Yes — queries live IBIOS inventory during the call |
| Can check open quotes and job status | No — no access to operational records | Yes — reads live Customer and Job records |
| Books into your job calendar | Sends a booking link (caller clicks separately) | Books directly — appointment created in IBIOS mid-call |
| Call logged to Customer record | Pushes to CRM via webhook after call ends (sync lag) | Call is already inside IBIOS — zero sync, zero lag |
| No middleware or CRM sync required | No — relies on webhook or integration to push data | Yes — IBIOS is the ERP; no separate system to sync |
vs generic answering services
Human answering services relay messages. Coming soon: IBIOS AI will answer product questions, check your stock, and book surveys when your team can’t pick up.
vs horizontal phone platforms
Horizontal phone platforms record the call and sync to your CRM. Coming soon: IBIOS will record the call and file it straight to your job record. No integration to maintain. No sync to trust.
vs standalone AI voice agents
Standalone AI voice agents read a CRM field. Coming soon: IBIOS AI will read your live supplier order record, in real time, during the call. One is lookup. The other is retrieval.
Trust & compliance
Built for businesses that can’t afford to get it wrong.
When it launches, your AI Receptionist will handle your customers’ personal data, your business’s operational records, and calls involving card payments. These four pillars set out how IBIOS approaches that.
Grounded in your records
Coming soon with the AI Receptionist: every AI answer will be verified against live IBIOS data before being spoken. If the AI cannot confirm an answer from your records, it will say so and offer a callback. It will not invent stock levels, delivery dates, or prices.
Card payments by pay by link
Live today: staff send a SumUp or Stripe pay by link, so customers pay on the provider’s page and card details stay off the phone.
Coming soon: 4-tier social engineering defence
When the AI Receptionist launches, Tier 1–3 requests (product enquiries, bookings, order status) will be handled by the AI. Tier 4 actions — changing bank details, deleting records, disclosing staff credentials — will be absolute blocks. The AI is designed to detect and deflect manipulation attempts automatically: impersonation of staff or HMRC, urgency pressure, and persistent rephrasing of blocked requests will be met with a firm, professional response.
UK hosting
IBIOS is hosted on UK-based servers, where transcripts and caller data are stored. Some AI processing uses providers outside the UK (including in the US) under UK transfer safeguards, as listed on our sub-processor page. IBIOS is built for UK GDPR compliance. The system uses UK VAT, HMRC-compatible references, and CIS conventions throughout. It was built in Northern Ireland for UK businesses — not adapted from a US product.
How it will work · Coming soon
From first ring to CRM record — the full cycle, handled.
Four steps, designed to run with zero manual intervention once the AI Receptionist launches.
Call arrives
Coming soon: a caller dials your business number. IBIOS AI Receptionist answers, introduces itself as your business, and asks how it can help. The caller hears a natural, professional voice — not a menu of numbered options.
AI queries your live data
The AI identifies the caller’s intent and queries the relevant IBIOS records in real time: live inventory for stock questions, the Customer record for returning callers, the Job record for delivery and order chases, your calendar for booking requests. It answers from facts, not assumptions.
Action is taken
Appointment booked directly into IBIOS. Detailed message logged. Call transferred to the right team member with a screen pop showing the caller’s full record. The AI picks the appropriate action based on what the caller needs and executes it before the call ends.
Record updated, team notified
The full call transcript, recording, and AI-generated summary are filed against the Customer and Job record automatically. Your team receives a one-line text and email summary. Morning briefing includes every call from the previous day. Nothing is missed. Nothing needs to be entered manually.

IBIOS prices have not been published yet. Founding prices will be offered to people on the waiting list first. The AI Receptionist can be used on its own or with other IBIOS products, such as the CRM and bookings.
Join the waiting listWhat do UK trade businesses ask about the IBIOS AI Receptionist (coming soon)?
What happens when a caller asks about a product that is out of stock?
When it launches, the AI Receptionist will query your live IBIOS inventory before answering. If the item is out of stock, it will tell the caller accurately, offer to take their details and alert them when stock arrives, and log the enquiry against the product record. It will not invent stock availability. A flag will be raised on your IBIOS dashboard so you or a colleague can follow up with a genuine answer or a like-for-like alternative.
Can the AI Receptionist book appointments into our calendar?
When it launches, yes. The AI will connect directly to your IBIOS scheduling calendar and offer the caller available survey or showroom slots in real time. Once the caller confirms, the appointment will be created in IBIOS, linked to the caller’s customer record, and a confirmation sent to them by text or email. No manual entry. No double-booking risk.
What does the AI say when it cannot answer a question?
The AI Receptionist is coming soon. When it launches, it is designed to be honest: if a question falls outside what the AI can answer from your live IBIOS data, it will say so clearly and offer the caller a choice: leave a message, receive a callback, or hold for a team member. It will not guess, fabricate pricing, or improvise an answer from general knowledge. Every call where the AI hands off will be flagged in your IBIOS dashboard with a summary of what was asked, so nothing falls through the cracks.
Can I listen back to calls the AI handled?
When it launches, yes. Every call the AI Receptionist handles will be recorded and linked directly to the relevant customer and job record in IBIOS. You will be able to listen back, read the AI-generated transcript, and see what action was taken — appointment booked, message taken, or transferred. IBIOS will not take card details on calls; card payments go by pay by link. Today, IBIOS transcribes and summarises recordings made by your existing phone provider.
Can it take card payments over the phone?
No. IBIOS does not take card details on calls and does not stop or restart call recordings. For card payments, staff send the customer a pay by link through SumUp or Stripe, so card details are not spoken on a recorded call.
What languages does the AI Receptionist support?
The IBIOS AI Receptionist is coming soon. It is being optimised for English and built specifically for Northern Ireland and Great Britain businesses. It understands UK trade terminology, product names, supplier names, shade lot references, and CIS and VAT conventions. Multi-language support is not in scope for the current release because the IBIOS target market is English-speaking. If your customer base requires another language, contact us to discuss.
What happens if the AI is overwhelmed by a high call volume?
Coming soon: the IBIOS AI call queue overflow system will handle simultaneous inbound calls without dropping them to voicemail. Calls will queue, callers will receive an estimated wait time, and the AI will manage each one in sequence. If a caller’s need is urgent (as determined by sentiment scoring), they will be prioritised. If the queue exceeds a threshold you configure, IBIOS will alert your team so a human can step in.
Does it work with my existing phone number?
This is coming soon. When the AI Receptionist launches, IBIOS will support number porting so your existing business number can route through it without any disruption to callers. Alternatively, IBIOS will provide a dedicated UK number.
How long does it take to go live?
The AI Receptionist is coming soon and is not yet available. IBIOS itself is in early access by waiting list. It is pre-configured for your business — your imported product catalogue, customer records, and calendar are already inside the system, so when the AI Receptionist launches it will work from your actual operational data. There is no lengthy knowledge-base setup or manual FAQ entry required.
Is the system GDPR compliant and where is data stored?
IBIOS is built for UK GDPR compliance and is hosted in the UK. Transcripts and caller data are stored on our UK-hosted servers. Some AI processing, such as speech-to-text, uses providers outside the UK (including in the US) under UK transfer safeguards — see /legal/subprocessors. When the AI Receptionist launches (coming soon), call consent messaging will be configurable per your legal requirements. You retain full data portability and deletion rights over all records.
What does the post-call notification look like?
Coming soon with the AI Receptionist: when a call ends, you will receive a text and email with a one-line summary in plain English: for example, “Jane Smith 07700 900 123 — wants a price on the Carron Elite 1800mm bath, survey available Tuesday.” The summary includes the caller’s name, number, what they asked about, and what action the AI took. No wading through a full transcript to find the headline.
Does IBIOS AI Receptionist work across multiple locations or branches?
Call routing is coming soon. When it launches, if you operate more than one showroom or site, IBIOS will be able to route calls to the correct location based on the number dialled, IVR choice, or caller postcode. Each site will be able to have its own calendar, stock view, and team alert settings, with calls logged under the correct site record.
What is the social engineering defence and why does it matter?
Coming soon with the AI Receptionist: the IBIOS 4-tier social engineering defence will protect your business from callers attempting to manipulate the AI into revealing sensitive information or triggering high-risk actions. Tier 1–3 requests (pricing, availability, appointments) will be handled normally. Tier 4 requests — such as changing bank account details or deleting records — will be absolute blocks regardless of how convincingly the caller presents themselves. The AI will not have the ability to perform these actions and cannot be argued into them.
How much will the AI Receptionist cost?
The AI Receptionist is coming soon. IBIOS prices have not been published yet: founding prices for waiting-list members will be offered to people on the waiting list first. Join the waiting list for early access.
