One system for your quotes, jobs, and payments. No office person required.
Small trade businesses lose money to missed calls, late invoices, and unchased quotes every week. IBIOS keeps your customers, quotes, jobs and payment links in one place, and each product can be used on its own or together. Coming soon: an intelligent office manager that will answer your calls too. IBIOS is business software for UK trade SMEs, made by IBIOS Limited (NI743167) in Northern Ireland; access is by waiting list.
A day running a trade SME without IBIOS
You start the day with a list of things that needed to happen yesterday: a quote to send, a payment to chase, a supplier delivery to confirm, a customer who wants an update on their job, and a new call that came in first thing that you have not had a chance to return.
By midday you have dealt with some of them. New things have been added. The quote you promised before lunch is not done. The customer who wanted an update has now called again. The supplier has not replied to the delivery query you sent on Tuesday.
At the end of the day you have no record of which calls came in, which quotes are still live, or which jobs are still unpaid. Everything is in your memory, your phone, and your email. If something falls through the gaps, you find out when a customer complains or when the bank statement shows less than expected.

Coming soon: a typical call — what the office manager will do
Planned scenario: a new prospect calls after hours while you are in the van.
Coming soon: a prospective customer rings in the early evening asking about getting a job quoted. You have finished work and are in the van.
The AI office manager answers, introduces itself as your office, and asks what work they need done.
The caller explains the job. The office manager captures the details: the customer name, contact number, location, and job description.
It offers to book a survey visit. Checking your calendar, it offers a free slot on Thursday morning. The caller confirms.
A confirmation text is sent to the caller. The job appears in your IBIOS dashboard with all the caller details already filled in. When you get home, you have a new booked survey waiting for you rather than a missed call.

AI call answering (coming soon)
Coming soon: your office manager on voice — will answer inbound calls, capture enquiries, book appointments and log messages without interrupting your work.
Learn more →Supplier PDFs to quote lines
IBIOS reads a photo or supplier PDF into quote lines in about 60 seconds, then matches them to your own products. No manual re-entry.
Learn more →Pay by link on completion
Send a payment link from the job record by email, or paste it into your own message. Customers can pay as soon as the job is done. No invoice chasing, no late payments sat on a spreadsheet.
Learn more →Ask anything about your business
Ask IBIOS what jobs are outstanding, which quotes have not been followed up, or what a customer last ordered — and get an answer from your live data.

Is IBIOS suitable for a trade business with only two or three people?
Yes. IBIOS is designed for trade SMEs, including businesses of one or two people. The system handles admin that would otherwise fall to an office person — chasing quotes, tracking jobs and payments. Coming soon: AI call answering as well.
We currently run everything on a spreadsheet and WhatsApp. How hard is it to switch?
IBIOS is designed to be straightforward to set up. You import your customer list from a CSV and load your basic product or service information. Connecting your business number for call forwarding is coming soon. IBIOS does not require a lengthy setup project. If you have questions during setup, our team will help.
Will the AI answer calls in a way that sounds like our business (coming soon)?
Coming soon. When the AI Receptionist launches, you will configure the AI office manager with your business name, your services, your key information, and your preferred tone. It will answer in your company voice — Professional, Sincere, Polite, Firm — and draw on your specific knowledge rather than generic responses.
What will happen if a caller asks something the AI does not know (coming soon)?
Coming soon. When the AI Receptionist launches, the AI office manager will not guess or make things up. If a caller asks something outside its knowledge, it will say so clearly and either take a message for your team or offer to have someone call back. You will be able to see exactly what it said in the call transcript.
How does IBIOS help with cash flow as a small trade business?
IBIOS tracks outstanding payments across all jobs and gives managers a list of balances to chase; automated payment reminders on a schedule you set are coming soon. Pay-by-link payments can be collected when the job is completed rather than chased later. The payment dashboard shows you exactly what is outstanding and by how many days.
Run your trade business like a bigger business.
