Every plumbing customer on record. Every job tracked to payment.
Plumbing work does not pause for phone calls. IBIOS tracks every job from first contact to final payment and collects money by payment link without any chasing on your part. Coming soon: AI call answering while you work. IBIOS is job management software for UK plumbers, made by IBIOS Limited (NI743167) in Northern Ireland; access is by waiting list.
A day on the tools without IBIOS
You are under a sink mid-morning. Your phone rings. You are in no position to answer. Before long it has rung again from different numbers. You call back at lunch — some have already found someone else. One needed a boiler service and was ready to book today.
You have jobs that have been completed but not invoiced. Getting round to writing and sending invoices requires time you consistently do not have. One of those jobs was weeks ago. The customer has not chased, but the money is just sitting there.
You carry your job history in your head and in a WhatsApp chat. If you get ill, nobody knows where anything is. There is no system, because building a system always seemed like something to do when things slow down — which they never do.

Coming soon: a typical call — what the office manager will do
Planned scenario: an existing customer calls early in the morning with a hot water problem.
Coming soon: a homeowner rings early in the morning. You are still at home getting ready. The AI office manager answers.
The caller explains they have no hot water and it has been off since last night. The office manager recognises the caller as an existing customer from the CRM, with a previous combi boiler service on record.
It tells the caller accurately: this sounds like a call-out, your plumber is available today, and offers a morning slot. The caller confirms.
The booking is logged in IBIOS with a note: no hot water, possibly boiler related, same customer as last year's service job. The caller receives a confirmation text with your business name and the booked time.
You see the call summary and booking in your dashboard when you check your phone. The job is already set up and ready to work from.

Will the AI triage emergency calls, for example a burst pipe call after you close (coming soon)?
Coming soon. When the AI Receptionist launches, you will configure what counts as an emergency and what your out-of-hours response is. For genuine emergencies, the AI will capture the details and send an immediate notification to your emergency contact. For non-urgent calls after hours, it will log the enquiry for first thing the next morning.
Does IBIOS produce gas safety certificates or manage maintenance contracts?
No. IBIOS does not produce certificates and does not manage maintenance contracts or service plans. Keep issuing certificates in your certificate app. IBIOS keeps each job, with its quote, parts orders and payments, linked to the customer, so you can find the job a certificate belongs to.
How does pay by link work when a customer is not at the property?
From the job record, you generate a payment link and send it to the customer by email, or copy it into your own text message. They pay from wherever they are — at work, at home, on their phone. Payment is confirmed and logged against the job automatically. You do not need to be in the same location as the customer to collect payment.
Will the AI office manager tell a caller whether a plumber is available this week (coming soon)?
Coming soon. When the AI Receptionist launches, it will check your live calendar before offering any slot. If Thursday afternoon is free, it will offer it. If you are fully booked all week, it will say so and take a message for the following week. It will not offer a slot that is already taken.
What happens when a job goes over quote? Can IBIOS handle variation orders?
Yes. You can create a quote revision or a variation from the existing job record. The customer receives an updated document for approval. Both the original and revised amounts are tracked against the job, so the final payment and profit analysis reflect the actual work done.
Get paid the day the job is done.
IBIOS collects payment by link from the job record. No invoice delays, no chasing. Early access by waiting list.
