Coming soon — Use Case

Christmas Eve enquiry. IBIOS will capture the lead so January starts with a booked job.

The IBIOS Receptionist is coming soon and is not live yet — this scenario shows how it will work. A homeowner who has just agreed a bathroom refit budget over the Christmas table calls on Christmas Eve morning. If they hit voicemail, the moment passes. IBIOS will answer, capture everything, and have the lead flagged and ready for your first morning back on January 2nd.

Why don’t Christmas Eve callers ring back in January?

Christmas is when homeowners talk about home improvement. The family is together. The problems in the house are visible. The budget conversations happen. Christmas Eve, late morning — a couple has agreed they’re finally doing the bathroom. Budget agreed. They’re motivated right now.

They ring the showroom. Voicemail. They don’t leave one. They’re heading out for Christmas lunch. They tell themselves they’ll call in January. By January 2nd, the urgency has faded. New Year commitments crowd in. They remember they meant to call but not the specific number. They google a showroom, find someone with availability, and book a survey.

The decision happened at Christmas. The sale went to whoever was reachable on Christmas Eve.

How will IBIOS capture a Christmas Eve bathroom enquiry (coming soon)?

A step-by-step walkthrough of a January project captured over the Christmas break.

01

Christmas Eve morning: budget agreed, showroom closed

Homeowner has spent the morning discussing a bathroom refit with their partner. Budget agreed. They ring the showroom while motivated. Closed. Voicemail. They won’t remember to call back in January. The moment passes.

02

IBIOS will answer with the holiday greeting

Once the AI Receptionist launches (coming soon), the call will be answered on Christmas Eve. The AI will deliver the seasonal greeting: the showroom is closed for Christmas, returning January 2nd. It will then offer to take the enquiry so the team can follow up on return.

03

Full enquiry captured: project, budget, timeline

Coming soon: IBIOS will ask for their details, project description, budget, and preferred start date. Customer provides everything: bathroom refit, their budget, looking to start early January, happy to be contacted from January 2nd.

04

Lead flagged for January 2nd review

Coming soon: the CRM record will be created and tagged for the first week of January priority queue. An automated SMS will be queued to go out to the customer on January 2nd confirming the team is back and referencing their enquiry.

05

Team returns 2 January: warm lead ready to act on

Coming soon with the AI Receptionist: on the first morning back, IBIOS will show a Christmas Eve enquiry at the top of the January queue: bathroom refit, budget, caller details, full transcript, January start preference. Team calls back that morning. Appointment booked.

Many January bathroom projects start with decisions made over Christmas. The showrooms that capture those Christmas calls start January with confirmed appointments. The ones that were closed with voicemail active start January with a blank diary.

Questions about Christmas and holiday period calls

Does IBIOS keep working over the Christmas break?

Coming soon. Once the AI Receptionist launches, IBIOS will run continuously, including over the Christmas period, with no scheduled downtime for public holidays. Every call taken over Christmas will be logged in IBIOS with a full transcript, and the records will be there for the team on their first day back in January.

How does IBIOS handle calls when the office is closed for an extended period?

Coming soon. You will configure a closure window in IBIOS. During that window, IBIOS will apply your holiday script: it will inform the caller that the showroom is closed over the Christmas period and provide the return date, then capture the full enquiry and confirm the team will be in touch from that date. The caller will not be left without information.

Can I configure a seasonal message the AI delivers before taking the enquiry?

Yes, once the AI Receptionist launches (coming soon). You will be able to write a custom greeting for the holiday period — for example, confirming the return date and any limited availability in early January. The AI will deliver this at the start of the call before moving into the enquiry capture. You will update it in IBIOS at the start of the closure window and revert it on your return.

What does the lead record look like when the team returns?

Once AI call handling launches (coming soon), the team will see a full CRM record: caller name, number, project description, budget, preferred start date, and the AI-generated call summary. The record will be flagged with the holiday window tag so it is prioritised in the January return queue above any standard callbacks.

Can IBIOS send the customer a message in the new year?

Coming soon. You will be able to configure an automated SMS to go out on January 2nd to any caller who reached IBIOS during the closure window. The message will confirm the team is back, reference their enquiry, and give a direct number to call or a booking link. This re-engages leads before they have had time to contact anyone else in the new year.
