Use Case

End of month. IBIOS delivers the summary before you’ve sat down with a coffee.

Assembling a monthly business review from separate systems eats into the morning. By the time it’s ready, the week has started and there is no time to act on it. IBIOS compiles the full monthly summary automatically and delivers it first thing on the 1st — calls, quotes, conversions, pipeline, and overdue follow-ups, all in one place.

Why does the monthly business review keep getting pushed back?

It’s the 1st of the month. Owner wants to review the previous month: how many calls, how many quotes, conversion rate, pipeline, overdue follow-ups. The call data is in the phone system. Quote data is in the quoting system. Job data is in a spreadsheet. Order data is in another spreadsheet. Pulling it together takes a big chunk of the morning.

By the time the picture is assembled, it’s mid-morning, jobs are coming in, and the window to act on the review has passed. The quotes that were already overdue for follow-up are now further gone. One of those customers has accepted a quote from someone else.

The monthly review is not just a reporting exercise. The overdue follow-ups are live opportunities. The pipeline figure is a cash flow signal. The conversion rate trend tells you whether your quoting is working. Every day’s delay in having that picture costs something real.

What is in the IBIOS end-of-month AI summary?

A step-by-step walkthrough of what the system compiles, how it is delivered, and what you can act on immediately.

01

Month closes at midnight

At the end of the last day of the month, IBIOS begins compiling the monthly summary from all data recorded during the period: calls, quotes, jobs, orders, and pipeline.

02

Summary delivered first thing

On the morning of the 1st, the Morning Briefing arrives in the owner’s inbox and IBIOS dashboard: calls this month, quotes sent, quotes converted, pipeline value and quotes overdue for follow-up.

03

Overdue follow-ups flagged

The quotes overdue for follow-up are listed by name, job value, and days since last contact. One-click access to each quote from the briefing. Owner can reassign or action directly from the summary.

04

Comparison to previous month visible

Conversion rate, quote volume and average job value are each shown against the previous month. Owner can see what is trending in the right direction and what needs attention.

05

Action taken before the day starts

Owner reviews the summary over coffee, calls the overdue quote holders before the day starts, and has a clear picture of where the business stands going into the new month, without assembling anything by hand.

The outcome

Ready

the full monthly summary is waiting, with no manual assembly

Flagged

overdue quotes listed and actionable before the working day begins

Visible

pipeline value at a glance, first thing on the 1st of the month

The morning briefing is not a vanity report. Every item in it is actionable. Overdue quotes are listed with one-click access. Pipeline breakdown shows which jobs are at risk. Conversion rate trend tells you whether the quoting process is working. The owner who reads it first thing is better placed to lead the team that day than the one who assembles the picture at noon.

Questions about the end-of-month AI summary

What does the IBIOS end-of-month summary include?

The summary includes: total call volume and AI-handled vs staff-handled split (once the AI Receptionist launches — coming soon), number of quotes sent and average quote value, conversion rate and number of jobs won, number of quotes still open, quotes overdue for follow-up, current pipeline value, largest open job, and a comparison to the previous month for each metric.

Can I customise which metrics appear in the morning briefing?

Yes. The IBIOS Morning Briefing settings panel lets you choose which metrics are included in the summary, the order they appear, and the thresholds that trigger a flag. For example, you can shorten the follow-up overdue threshold, or add average job value as a tracked metric. Custom metrics can be added using the AI Workflow Builder.

How far back does IBIOS track data for trend analysis?

IBIOS retains all operational data from your account creation date. Month-on-month comparisons are available from the second month of use. Year-on-year comparisons are available from the second year. There is no data expiry for operational metrics — historical records are part of your account and are available in all reports for the lifetime of the account.

Can the summary be emailed to multiple people (for example, owner and manager)?

Yes. The Morning Briefing can be sent to more than one email address. Each recipient can have a different view — the owner receives the full summary including cost and margin data, while the manager receives a version with the revenue and pipeline sections only. Recipient lists and view permissions are configured in the IBIOS Settings panel under Notifications.

Does the summary include a comparison to the previous month?

Yes. Every metric in the end-of-month summary is shown alongside the previous month figure, with the absolute change and percentage change. Metrics that have improved are highlighted in green; metrics that have declined are highlighted in amber. The summary does not editorialize — it presents the numbers and you decide on the action.

The summary draws on the IBIOS CRM and quote records, and you can ask follow-up questions in typed Ask IBIOS over your live records. See also the investor meeting metrics digest.
