Use Case

Investor meeting next week. IBIOS generates the metrics digest.

Preparing a 12-month performance summary from multiple systems takes a Sunday afternoon. IBIOS holds every operational metric in one place and generates the full investor digest on demand: call volume, lead capture rate, conversion, average job value, pipeline, and seasonal trends. No spreadsheet required.

Why does preparing investor metrics take a whole weekend?

Bank meeting confirmed for Tuesday. Owner needs 12 months of data: call volume, lead capture, quote volume, conversion, average job value, pipeline, seasonal trend. Call data is in the phone system. Quotes are in the quoting system. Jobs are in a third system. Pulling it together, reconciling the numbers, and formatting it for a presentation takes most of Sunday.

The data that comes out is accurate — but only as accurate as the export process allows. Numbers from different systems use different date boundaries. The “conversion rate” in the quoting system counts differently from the one in the job system. The presentation goes in with a note: “these figures are approximate.” Not the most confident opening for a funding conversation.

A business where every transaction, call, quote, and job is recorded in a single system does not have this problem. The metrics are consistent because they come from one source of truth. The report is generated rather than assembled. The Sunday afternoon is freed up.

How do you produce an investor metrics digest in IBIOS?

A step-by-step walkthrough from meeting confirmation to PDF-ready presentation.

01

Investor meeting confirmed

Bank manager meeting is confirmed for the following week. Owner needs to present 12 months of operational and financial performance data in a professional format.

02

Investor report template selected

Owner opens the IBIOS reporting panel and selects the investor metrics template. Sets the period to the last 12 months. Reviews the metric selection and adds pipeline breakdown to the report.

03

Report generated on demand

IBIOS compiles call volume (with the AI-handled share once the AI Receptionist launches — coming soon), lead capture rate, quote volume, average quote value, conversion rate, average job value and current pipeline, all from the same records.

04

Seasonal trend and year-on-year visible

The top-performing month is highlighted, and call volume, conversion rate and average job value are each compared with the previous year. The story the data tells is visible without any additional analysis work.

05

PDF exported and ready to present

Report exported as a formatted PDF with business name and period. Ready to print or present on screen, with no Sunday afternoon spent in a spreadsheet.

The outcome

On demand

a 12-month investor metrics digest from a single source of truth

Pipeline

current pipeline visible in the report alongside historical conversion data

No spreadsheet

needed to prepare the investor presentation

The confidence of presenting metrics that come from a single integrated system — rather than reconciled from multiple exports — is itself a signal to an investor or bank manager. It demonstrates that the business is run on systems, not on instinct. The report is evidence of that, not just a collection of numbers.

Questions about investor and management reporting

What financial and operational metrics does IBIOS track for investor reporting?

IBIOS tracks: monthly and annual call volume, AI-handled vs staff-handled call split (once the AI Receptionist launches — coming soon), lead capture rate, quote volume by period, average quote value, quote-to-job conversion rate, average job value, current pipeline value, won job revenue by month, top-performing month, and seasonal trend analysis. Cost and margin data is included in the investor report if the running user has the cost visibility permission.

Can I export the investor report as a PDF?

Yes. The IBIOS investor metrics report can be exported as a formatted PDF with your business name and the reporting period on the cover page. The PDF includes all selected metrics, trend charts, and the period-on-period comparison table. You can also export as XLSX for further manipulation in a spreadsheet application.

How far back does IBIOS historical data go?

IBIOS retains all operational data from your account creation date with no expiry. The investor report can cover the full period you have been using IBIOS, with monthly breakdowns. The system generates year-on-year comparisons from the second year of use. There is no charge for historical data access.

Can the metrics report be customised to show specific KPIs?

Yes. The investor report template in IBIOS lets you select which metrics appear, set the reporting period, and choose between summary and detailed views for each section. You can create and save named report templates — for example, “Bank meeting”” showing revenue and pipeline, and “Internal review” showing operational metrics and margin. Saved templates can be run again at any time.

Does IBIOS show year-on-year comparisons?

Yes. For accounts with more than 12 months of data, the investor report includes a year-on-year comparison table for every metric: absolute change, percentage change, and a trend direction indicator. Monthly seasonality is shown as a chart. Months with significantly higher or lower performance than the same month in the previous year are highlighted automatically.

The digest draws on the IBIOS CRM and quote records, and you can ask follow-up questions in typed Ask IBIOS. See also the end-of-month AI summary.
