Who is IBIOS job management software for?
A good fit
Installation-led trades: bathrooms, kitchens, tiling, glazing, joinery and builders. Jobs that run over days or weeks, depend on supplier deliveries and take a deposit.
Possibly better elsewhere
High-volume reactive callouts, with many short repair visits a day and invoices raised on site. A dedicated field service suite may suit you better today, while IBIOS invoicing and the field tracker are coming soon. See how IBIOS compares with other job management software.
IBIOS (Integrated Business Intelligence & Operations System) is made by IBIOS Limited (NI743167), Northern Ireland, and was built inside a working bathroom showroom. Access is by waiting list; there is no free trial. For visit scheduling in more detail, see field service software.
Buying guide
Choosing job management software for a UK trade business: a practical guide
Written by the IBIOS team. IBIOS was built inside a working bathroom showroom in Northern Ireland, where it runs the business day to day. Last updated 18 October 2026.
What is the best job management software for UK trades?
The best job management software for a UK trade business is the one built around the shape of your jobs. A bathroom fit that runs for weeks, with a quote, supplier orders, a deposit and a fitting team, needs different software from a day of short repair callouts. Decide what a typical job looks like first, then compare tools on how well they hold that job together.
- Describe a typical job. From first enquiry to final payment: who quotes it, what gets ordered, who fits it, and where it usually stalls.
- Check how quotes get built. Supplier price lists and merchant quotes should be read in, not retyped line by line.
- Check how materials are tracked. Each supplier order should belong to a job, so you know what has arrived before the fitter goes out.
- Check how money is recorded. Deposits and balances against the job, and an easy way for the customer to pay.
- Check how the team sees the work. A schedule for who is where, and a phone app for the people on site.
- Separate live from promised. Ask every vendor, in writing, which features run today and which are on the roadmap.
What does IBIOS job management software do today?
IBIOS keeps every job on one record, from the first enquiry to the final payment. The parts that are live today, from the CRM and Quote Studio to scheduling and call reports, each have a card and a link in what is live today at the top of this page.
What is coming soon?
These are not live yet, so do not plan around them: raising and sending invoices, QuickBooks and Xero sync, a field tracker for people out on jobs, timesheets, automatic payment chasing, and customer text messages (SMS). Until they launch, keep invoicing in your accounts package and keep your current way of recording hours.
Which trades does IBIOS suit, and which may be better served elsewhere?
IBIOS suits installation-led trades that sell and fit product: bathrooms, kitchens, tiling, glazing, joinery and builders. Those jobs run over days or weeks, depend on supplier deliveries and take a deposit, which is where one record for quote, orders, schedule and payments earns its keep. It was built inside a working bathroom showroom.
If most of your work is high-volume reactive callouts, such as many short repair visits a day with job sheets and invoices raised in the van, a dedicated field service suite may suit you better today, especially while IBIOS invoicing and the field tracker are coming soon. See field service software for how IBIOS schedules visits.
Job management or field service software: what is the difference?
The terms overlap. Job management software usually means the whole job: enquiry, quote, materials, scheduling and payment. Field service software usually centres on the engineer: dispatching visits, mobile job sheets and invoicing on site. Many products do some of both, so judge them on your typical job rather than on the label.
Spreadsheets, a field service suite, a trade job app or IBIOS?
How the common options tend to work out for a UK trade business.
| Option | Best for | Watch out for |
|---|---|---|
| Spreadsheets, diary and inbox | A sole trader with a handful of jobs at a time. | Nothing links the quote, the orders and the payments, and only one person knows where everything is. |
| Field service suite | High-volume reactive callouts with engineers in vans. | Check how each handles supplier orders and stock for longer supply-and-fit jobs. |
| Trade job app | Small teams that want quotes, scheduling and invoices on a phone. | Check whether it reads supplier price lists and tracks orders per job, or only holds labour and a parts list. |
| IBIOS | Installation-led trades that quote from supplier prices, order materials per job, schedule a team and take deposits. | Early access by waiting list. Invoicing, QuickBooks and Xero sync, the field tracker, timesheets, automatic chasing and customer SMS are coming soon, not live yet. |
What you need in place before you start
- A list of your current customers and open jobs.
- Your main suppliers and their latest price lists.
- Who quotes, who orders, who fits and who takes payment.
- A payment provider account (SumUp or Stripe) if you want to send pay by link.
- Your accounts package, which keeps handling invoices until IBIOS invoicing launches.
What it costs
The software is rarely the expensive part. The costly moments are a fitter on site without the materials, a quote retyped with a wrong price, and a balance nobody chased because it lived in someone’s head.
Founding prices for waiting-list members are explained on the pricing page. Each IBIOS product can be used on its own or together.
Last reviewed October 2026.
What people get wrong
- Choosing on the demo rather than on a real job from last month.
- Picking a callout-centred tool for long supply-and-fit jobs, or the other way round.
- Retyping supplier price lists instead of reading them in.
- Booking the fitter before the materials have arrived.
- Buying for a feature that is still on the roadmap. Ask what is live.
- Moving everything at once instead of starting with new jobs.
